Officers are to<\/p>\n<p>Ensure the smooth running of the project office through strong management of cash, stores, vehicle arrangement, and communication and handle financial activities and logistics<br \/>\nResponsible for the day-to-day general financial and administrative management of the organisation, assisting the Project Coordinator, Project Finance Manager and supporting the staff team.<\/p>\n<p>KEY TASKS &amp; RESPONSIBILITIES<\/p>\n<p>Finance<\/p>\n<p>Verify pre- and post-financial transactions at the field office level (for completeness, accuracy, availability of budget, ensuring compliance), and submit to the Programme Finance Manager at CO<br \/>\nPrepare cash books on time with quality, and submit to the Programme Finance Manager<br \/>\nPrepare monthly bank reconciliation on time and with quality, and submit to the FM-CO.<br \/>\nLiaising with banks for all finance matters<br \/>\nFollow up on the timely settlement of staff advances by closely working with the Programme Finance manager-CO and report to the CO on advances long overdue<br \/>\nSupport the PC\/Team Leader at FO in preparing the monthly cash forecast &amp; transfer request, ensuring accuracy &amp; timeliness<br \/>\nReview the details of BMRs together with the PC\/Team Leader at FO, communicate any adjustments on time, ensure the availability of the budget for any transaction ahead, and advise the PC\/Team Leader at FO on timely utilisation of budgets<br \/>\nEnsure all relevant staff members of the field office are informed of donor requirements, and work closely with program and other support functions to ensure compliance<\/p>\n<p>Procurement &amp; Other Support Services <\/p>\n<p>Responsible for facilitating &amp; handling all procurements of the field office<br \/>\nHandle FO logistic service, including movements of vehicles, project inputs and reports to the CO Logistic Manager<br \/>\nEnsure the timely procurement and distribution of items at the field office, keeping all relevant documentation complete and up to date &amp; by closely working with the Technical Team at the field office<br \/>\nLiaison with CO-Procurement Manager &amp; follow up on all procurements of the project to be made at the CO level or need to get approval from CO<br \/>\nSupport the PC\/Team Leader at FO in preparing the procurement plan regularly<br \/>\nImplement a system to ensure efficient use and safety of the project vehicles and equipment, including timely and appropriate maintenance and monitoring of costs<br \/>\nFollow up, organise all leave and other HR related records and submit to the CO HRM<br \/>\nAssist in staff recruitment and disciplinary issues<br \/>\nEnsure a conducive staff working environment<br \/>\nManage the operations of the project compound by liaising with the Leaser of the office building<br \/>\nPerform all other duties as requested by LM<\/p>\n<p>Safeguarding &amp; Code of Conduct Responsibilities:<\/p>\n<p>Comply with and uphold Farm Africa\u2019s Safeguarding Policy, Code of Conduct, and related policies at all times.<br \/>\nTreat all individuals and communities with dignity, respect, and fairness, promoting a safe and inclusive working environment.<br \/>\nEnsure that personal and professional conduct does not put beneficiaries, colleagues, or partners at risk of harm or abuse.<br \/>\nRecognize and report any safeguarding concerns, suspicions, or incidents in accordance with Farm Africa\u2019s safeguarding and reporting procedures.<br \/>\nMaintain appropriate professional boundaries with beneficiaries, community members, and colleagues.<br \/>\nEnsure that communications, images, and information about beneficiaries are used responsibly and with informed consent.<br \/>\nSupport the organization\u2019s commitment to preventing sexual exploitation, abuse, harassment, and any form of discrimination.<br \/>\nParticipate in safeguarding training and awareness activities as required.<br \/>\nContribute to creating and maintaining a safe working environment for all staff, partners, and the communities we serve.<\/p>\n<p>These essential functions are not to be interpreted as a complete statement of all duties performed. All work responsibilities are subject to having performance goals and\/or targets established.<\/p>\n<p>About You<\/p>\n<p>PERSON SPECIFICATION<\/p>\n<p>Essential<br \/>\nDesirable<\/p>\n<p>Education &amp; Qualifications<\/p>\n<p>BA or above in Accounting or related fields<br \/>\nTraining on financial application systems such as SUN, Peachtree<\/p>\n<p>Knowledge of employment legislation in Ethiopia<\/p>\n<p>Good understanding and firm belief in gender equality and issues in rural communities<\/p>\n<p>Experience<\/p>\n<p>At least four years of relevant experience in a Finance and Administration role with similar responsibilities in an NGO or private enterprise<br \/>\nPrevious INGO work experience in rural areas<\/p>\n<p>Experience in asset and inventory management<\/p>\n<p>Skills &amp; Abilities<\/p>\n<p>Skills in budgeting and maintaining accounts<br \/>\nSkills in financial application systems<\/p>\n<p>Strong computer skills and experience working with accounting software<\/p>\n<p>Computer literacy, excellent record keeping and report writing<\/p>\n<p>Strong attention to detail and problem-solving skills<\/p>\n<p>Strong communication and interpersonal skills<br \/>\n,.<\/p>\n<p>Good team-building skills and the ability to work in a multi-partner approach<\/p>\n<p>Strong analytical, organisational and IT skills<\/p>\n<p>Ability to work independently and with minimum supervision, prioritise tasks and take initiative<\/p>\n<p>Strong sense of integrity and personal commitment to the goals and values of Farm Africa<\/p>\n<p>Skills in working as part of a team<\/p>\n<p>Our Values<br \/>\nInvesting in smallholder farming is the number one way to combat poverty in rural Africa.
