Job Description<\/p>\n
Event & Room Block Coordination<\/p>\n
\tSupport the Director of Lodging and Account Managers with the coordination of room blocks for contracted events.
\n\tCreate, modify, and cancel room reservations accurately and efficiently.
\n\tMaintain detailed inventory of room allocations, reservations, and hotel assignments.
\n\tMonitor hotel pick-up rates and proactively communicate with hotels, CVBs, and partner clients.
\n\tReview and interpret RFPs and contracted event agreements with hoteliers.<\/p>\n
Customer Service & Client Support<\/p>\n
\tServe as the first point of contact for customer inquiries via phone, email, and chat.
\n\tInvestigate and resolve reservation issues and housing-related concerns.
\n\tMake outbound calls to attendees, hotel partners, venue staff, and event operators.
\n\tDeliver timely, accurate, and professional responses across all communication channels.<\/p>\n
Stakeholder & Partner Relations<\/p>\n
\tBuild and maintain strong working relationships with hotel partners and vendors.
\n\tParticipate in strategic meetings with event owners and venue teams to understand housing needs and explain service offerings.
\n\tCollaborate with venue staff and event owners to review housing performance, pickup trends, and address concerns.
\n\tProvide on-site representation at select events, conferences, and sales meetings as required.<\/p>\n
Reporting & Performance Tracking<\/p>\n
\tTrack booking sales pace and compile pre- and post-event metrics.
\n\tCollect and analyze performance indicators to provide actionable insights.
\n\tWork closely with internal teams to ensure KPIs are met and continuously improved.<\/p>\n
Marketing & Cross-Functional Collaboration<\/p>\n
\tCoordinate with the Marketing Department to support promotional strategies for event housing.
\n\tSupport outreach initiatives to drive room block engagement and bookings.<\/p>\n
Qualifications<\/p>\n
\tBachelor\u2019s degree in Hospitality, Travel & Tourism, Business Administration, or a related field preferred.
\n\tExperience in customer service, sales operations, or the hotel\/travel industry.
\n\tStrong interpersonal and problem-solving skills.
\n\tExcellent verbal, written, and presentation skills.
\n\tProficiency in MS Excel, Word, PowerPoint, and Outlook.
\n\tDemonstrated ability to learn and navigate multiple software platforms quickly.
\n\tStrong documentation and communication skills across all organizational levels.
\n\tAbility to manage multiple systems simultaneously while maintaining accuracy.
\n\tStrong attention to detail and ability to work effectively under deadlines.
\n\tProven ability to build lasting professional relationships.
\n\tMarketing or promotional experience is an added advantage.<\/p>\n
