POSITION SUMMARY<\/p>\n
\tHIAS seeks a Finance Manager to oversee the day-to-day effective and efficient management of all financial activities of HIAS\u2019s Kenya office. The Finance Manager will oversee all finance, accounting, Procurement and IT functions. The person will also ensure accurate and timely preparation of internal financial reports and submission of external reporting. The incumbent will also maintain high standards of internal controls in accordance with International Accounting Standards, Kenyan laws, and regulations. The Finance Manager will report directly to the Country Director. They will also work closely with HQ Finance and BFC teams.\u00a0<\/p>\n
ESSENTIAL FUNCTIONS:<\/p>\n
\tManage all financial transactional activity, including accounts payable, accounts receivable, and payroll, and ensure that all financial transactions and journal entries are recorded accurately in accordance with organization policies, donor and governmental regulations.
\n\tLead in program proposal budgeting and financial planning processes for the Country Office, administer and review all financial plans and budgets; monitor progress and changes; and keep the senior leadership team abreast of the organization\u2019s financial status.
\n\tMonitor budget execution and spending through burn rates and other tracking systems.
\n\tManage organizational cash flow and forecasting, including timely monthly funds requests.
\n\tCoordinate all financial audits of the operations in HIAS Kenya
\n\tReview key monthly account analysis; bank reconciliations, G\/L to subsidiary ledger reconciliation.
\n\tEnsures that financial reports for all donors, local compliance, and HQ are submitted in a timely manner.
\n\tPrepare, analyze, and report to the Country Director and HQ, monthly Excel budget vs actual analysis.
\n\tEnsure timely preparation of monthly, quarterly, and annual financial statements and reports, including submission of the monthly financial review reports to HQ.
\n\tSupport in the input of NetSuite in all aspects of HIAS Kenya\u2019s operations.
\n\tEnsure the correct coding of expenses against grants to ensure adequate charging of grants.
\n\tConduct regular training for HIAS Kenya employees on financial policies and procedures and best practices
\n\tEnsure compliance with all HIAS policies and procedures as outlined in policy manuals and in accordance with local statutory requirements.
\n\tOversee monthly payroll reviews, reconciliation, and payment to ensure that payroll is completed in compliance with the tax and labor requirements.
\n\tMonitor all procurement activities to ensure they are conducted fairly and transparently, that all processes are fully documented, and are in full compliance with HIAS and donor policies
\n\tConduct regular training for HIAS Kenya employees on NetSuite application, financial policies and procedures, and best practices.
\n\tLead and supervise the Finance Team, IT Officer, and the procurement officer through periodic meetings, guiding effective establishment of objectives, delegation, performance reviews, and communication.
\n\tParticipate in internal and external management meetings for financial planning and development purposes.
\n\tProvide oversight into the management of accountability to the affected population by ensuring staff responsibilities and HIAS’s financial practices, considering the population that HIAS serves
\n\tAny other duty as may be assigned.<\/p>\n
Qualification and Experience<\/p>\n
\tGraduate degree or other post-graduate qualifications in finance or accounting (will consider experience in lieu of a Master\u2019s degree).
\n\tAt least seven (7) years\u2019 work experience in an Accounting or Finance position with accounting and budgeting responsibilities and at least three (3) to four (4) years in an INGO or similar field.
\n\tAt least three (3) years of demonstrated experience in a management role
\n\tKnowledgeable of Kenyan laws and regulations.
\n\tExcellent computer skills in all Microsoft Office suite products (Word, Excel, PowerPoint, etc.);
\n\tHighly organized and detail-oriented with strong analytical and problem-solving abilities;
\n\tCapability to handle sensitive and confidential information.
\n\tAbility to work in a team and independently, take initiative, prioritize competing tasks, and meet deadlines in a fast-paced environment.
\n\tStrong communication and interpersonal skills.
\n\tKnowledge of AAP and PSEA.<\/p>\n
