This is a full-time, on-site position based in Nairobi, Kenya.\u00a0We are seeking a Clinic Manager to oversee the operational, administrative, and financial management of the clinic. This role goes beyond general clinic administration and requires strong operational management skills, including experience with billing processes, inventory control, procurement, and financial reporting.<\/p>\n
The Clinic Manager will ensure smooth daily operations while maintaining accurate financial records, inventory tracking, and compliance with internal systems and procedures. You will work closely with the medical team, administrative staff, and management to ensure efficient workflows, high-quality patient care, and disciplined operational processes.<\/p>\n
Key Responsibilities<\/p>\n
Clinic Operations<\/p>\n
\tOversee daily clinic operations including consultations, procedures, follow-ups, and patient flow.
\n\tCoordinate schedules for surgeons, physicians, nurses, dietitians, and support staff.
\n\tEnsure compliance with medical, safety, and regulatory standards.
\n\tMonitor operational performance indicators such as service turnaround time and clinic utilization.
\n\tSupport the implementation and proper use of clinic systems (EMR\/HMIS, scheduling systems).<\/p>\n
Financial & Billing Oversight<\/p>\n
\tSupervise billing, invoicing, and revenue tracking processes.
\n\tEnsure proper documentation and reconciliation between invoices, payments, and accounting records.
\n\tReview supplier invoices and related documentation before payments are processed.
\n\tSupport preparation of monthly financial reports including revenue, expenses, and cost tracking.
\n\tMaintain organized documentation for audits and management review.<\/p>\n
Inventory & Warehousing<\/p>\n
\tOversee inventory of medical supplies, surgical consumables, pharmaceuticals, and clinic equipment.
\n\tEnsure accurate stock records, bin cards, and system entries.
\n\tMonitor minimum and maximum stock levels to prevent shortages or overstocking.
\n\tSupervise GRN (Goods Received Notes) and GIN (Goods Issue Notes) processes.
\n\tConduct regular physical stock counts and reconcile any variances.<\/p>\n
Procurement & Supplier Management<\/p>\n
\tCoordinate procurement planning for medical and operational supplies.
\n\tPrepare purchase requisitions and purchase orders.
\n\tEvaluate suppliers based on quality, pricing, and reliability.
\n\tFollow up on deliveries and maintain supplier records.
\n\tEnsure procurement processes follow internal approval procedures.<\/p>\n
Team & Administrative Management<\/p>\n
\tSupervise administrative and support staff.
\n\tSupport recruitment, onboarding, and staff training.
\n\tEnsure high standards of patient service and address escalated complaints.
\n\tMaintain clinic policies, SOPs, and operational documentation.<\/p>\n
Qualifications<\/p>\n
\tBachelor\u2019s degree in Healthcare Management, Business Administration, Accounting, Supply Chain, or a related field.
\n\t3\u20135 years experience in healthcare or clinical operations management.
\n\tPractical experience with:
\n\tclinic operations and patient workflow
\n\tbilling and invoicing systems
\n\tinventory and warehouse management
\n\tprocurement processes
\n\tUnderstanding of financial reporting and operational cost control.
\n\tStrong proficiency in Microsoft Excel and digital management systems (EMR\/HMIS).
\n\tStrong organizational, analytical, and leadership skills.<\/p>\n
