The Dispatch Trainee supports Raino Tech4 Impact tech- the day-to-day operations of the dispatch and logistics function, ensuring timely, accurate, and efficient movement of goods from the distribution center to customers or retail outlets. This entry-level role is designed to provide hands-on experience in fleet coordination, route planning, order fulfilment, and documentation within a fast-paced supply chain environment.<\/p>\n
Dispatch & Logistics Coordination<\/p>\n
\tOptimize truck utilization by balancing load capacity, delivery schedules, and customer priority.
\n\tMonitor truck movements and coordinate with drivers for smooth deliveries and pickups.
\n\tPlan, coordinate, and oversee daily dispatch activities to ensure timely delivery of orders.
\n\tAllocate delivery routes efficiently with a strong understanding of Nairobi\u2019s routes to minimize delivery time and fuel costs.
\n\tOptimize truck space and scheduling to ensure maximum truck utilization.
\n\tAssign and supervise a team of casuals and drivers during dispatch operations.
\n\tEnsure all dispatches are accompanied by proper documentation including invoices, delivery notes, and transport logs.
\n\tCollaborate with quality control personnel to check that products meet safety and quality standards before dispatch
\n\tConduct weekly and monthly stock take\u00a0
\n\tMonitor stock levels and ensure proper communication is maintained to avoid stock outs\u00a0
\n\tCommunicate any slow moving SKU to management for decision making
\n\tEnsure Reverse Logistics is fully adhered to<\/p>\n
Order Processing & Verification<\/p>\n
\tVerify customer orders against invoices and packing lists before dispatch.
\n\tEnsure accurate order picking, packing, and labeling in accordance with cold chain standards.
\n\tHandle last-minute order changes and resolve order discrepancies swiftly.
\n\tCommunicate with sales team to ensure any deviation from customer order is communicated effectively and in realtime<\/p>\n
Documentation & Reporting<\/p>\n
\tMaintain up-to-date dispatch logs, delivery notes, vehicle allocation sheets, and stock movement records.
\n\tEnsure compliance with internal SOPs for product traceability and dispatch accuracy.
\n\tPrepare daily, weekly, and monthly dispatch and stock reconciliation reports.
\n\tEnsure Documents are filed on time .<\/p>\n
Team Leadership<\/p>\n
\tSupervise and coordinate a team of casual workers during loading\/unloading and dispatch operations.
\n\tAssign tasks, monitor performance, and ensure adherence to safety and hygiene standards.
\n\tProvide basic training and on-the-job guidance to dispatch staff.
\n\tDraft internal SOPS to give guidelines to the team\u00a0
\n\tDelegate tasks effectively and ensure that daily KPIs are met.<\/p>\n
Cold-Room Management & Asset management<\/p>\n
\tMonitor cold-room temperatures and ensure products\u00a0 are stored and handled as per company and health standards.
\n\tAssist in organizing and rotating stock using FIFO\/LIFO methods to prevent spoilage.
\n\tCoordinate with maintenance for timely servicing of cold storage units.
\n\tEnsure the coldroom is always clean and properly arranged\u00a0
\n\tEnsure all products are batched\u00a0
\n\tMaintain an accurate register of dispatch equipment, tools, and company assets\u00a0 Crates, pallets tags,Packaging bags ,Sealing machines ,scales ,Tables etc\u00a0
\n\tEnsure that handling equipment is in good working condition and escalate any maintenance needs.<\/p>\n
Quality Control & Compliance<\/p>\n
\tInspect goods for quality, hygiene, and temperature compliance before loading.
\n\tReport any substandard or spoiled products to the Quality Assurance and Procurement teams.
\n\tEnsure proper handling of perishable goods to minimize losses and maintain compliance with food safety standards.
\n\tEnsure cleanliness is maintained at all times during and after dispatch .<\/p>\n
Qualifications and Experience:<\/p>\n
\tCertificate or Diploma in Logistics, Supply Chain Management, Business Administration, or related field is a must.\u00a0
\n\tMinimum of 6 Months to 1 year of relevant attachment or internship experience in dispatch operations, stock reconciliation, or asset management, preferably in a food or cold-chain logistics environment.
\n\tProficient in Microsoft Excel and Inventory systems.
\n\tExcellent knowledge of Nairobi routes and traffic patterns.
\n\tExperience supervising teams, particularly casual labor staff.
\n\tSolid understanding of cold chain logistics and food handling procedures.
\n\tStrong organizational and communication skills\u2014both written and verbal.
\n\tHigh level of accuracy, attention to detail, and time management.
\n\tPhysically fit and willing to work in cold-room environments and flexible hours as needed.<\/p>\n
