The Event Coordinator is responsible for planning and executing the operational aspects of events, including venue sourcing, vendor coordination, d\u00e9cor, and production management. This is a field-heavy role that requires attention to detail, strong coordination skills, and the ability to stay calm and effective under pressure.<\/p>\n
Key Responsibilities<\/p>\n
Venue Sourcing and Management<\/p>\n
\tResearch, evaluate, and secure venues for events and team-building activities
\n\tConduct site visits and assess suitability based on client requirements
\n\tNegotiate pricing and manage venue bookings
\n\tCoordinate all venue-related logistics<\/p>\n
Vendor Coordination and Negotiation<\/p>\n
\tSource and manage vendors including catering, AV, transport, d\u00e9cor, and entertainment
\n\tNegotiate pricing within approved budgets
\n\tEnsure vendors deliver to agreed quality standards
\n\tMaintain records of vendor performance for future use<\/p>\n
D\u00e9cor and Event Styling<\/p>\n
\tSupport the development of event themes and d\u00e9cor concepts
\n\tSource materials and coordinate setup
\n\tSupervise d\u00e9cor execution on-site to ensure alignment with the brief<\/p>\n
Production and Agenda Management<\/p>\n
\tDevelop detailed run sheets outlining timelines, cues, and responsibilities
\n\tCoordinate production elements including audio-visual setup, lighting, and music
\n\tWork with speakers, facilitators, and MCs to ensure smooth flow of the event
\n\tEnsure all activities run according to schedule<\/p>\n
On-Site Execution<\/p>\n
\tLead event setup and coordinate all on-ground activities
\n\tManage vendors during execution and address issues in real time
\n\tEnsure a smooth experience for clients and participants
\n\tOversee event teardown and close-out processes<\/p>\n
Reporting and Administration<\/p>\n
\tMaintain task lists and update project management systems
\n\tTrack event progress and key milestones
\n\tPrepare post-event reports including budget reconciliation and vendor feedback<\/p>\n
Requirements<\/p>\n
\t3\u20136 years of experience in event coordination, production, or hospitality
\n\tProven experience managing events or supporting event delivery end-to-end
\n\tStrong organisational and time management skills
\n\tExperience working with vendors and managing logistics
\n\tAbility to work under pressure and handle multiple tasks simultaneously
\n\tStrong communication and coordination skills
\n\tDiploma or degree in events management, hospitality, communications, or a related field<\/p>\n
