Responsibilities<\/p>\n
Grant budgeting and financial planning<\/p>\n
\tSupport the development of grant proposal budgets and departmental operating budgets in close collaboration with technical teams and finance leadership.
\n\tAssist in aligning budgets with programmatic priorities, donor requirements, and internal financial policies.
\n\tMaintain and update budget monitoring tools and grant tracking models to support effective financial planning and decision-making.<\/p>\n
Grant financial management and reporting<\/p>\n
\tSupport the preparation of accurate and timely grant financial reports for internal and external stakeholders.
\n\tMonitor grant expenditures against approved budgets, identify variances, and flag risks or issues for follow-up.
\n\tAnalyze financial data and prepare summary analyses and reports to support management decision-making.
\n\tAssist with monthly reviews of grant expenditures in the General Ledger and help coordinate any required reclassifications or corrections.
\n\tMaintain records related to grant funds in the organization\u2019s financial systems, ensuring data accuracy and completeness.<\/p>\n
Compliance and coordination<\/p>\n
\tCollaborate with the Associate Finance Director and the Contracts Department to review financial components of grant agreements and contracts.
\n\tSupport compliance with organizational policies and donor requirements, including tracking reporting deadlines and financial conditions.
\n\tMonitor cash flow and foreign exchange impacts across grants, flagging potential implications for budgets and forecasts.<\/p>\n
Operational support<\/p>\n
\tContribute to the development and refinement of finance and operations processes to improve efficiency, transparency, and consistency across the team.
\n\tCoordinate and participate in special projects related to finance, operations, or grant management, as needed.
\n\tWork collaboratively across teams to support a strong, service-oriented finance function and team-based culture.<\/p>\n
Operational administration\u00a0<\/p>\n
\tPlan, coordinate, and manage logistics for team conferences, summits, workshops, and retreats, including venue sourcing, agenda development, participant communication, and on-the-day execution.\u00a0
\n\tManage scheduling and calendar coordination for the team, including facilitating cross-time-zone meetings, tracking key deliverable deadlines, and ensuring leadership is prepared for internal and external engagements.\u00a0
\n\tMaintain and organize shared team resources, including document repositories, templates, trackers, and standard operating procedures, ensuring information is accessible, up to date, and consistently applied across the team.\u00a0
\n\tAssist with travel coordination and expense processing for team members, including visa support, travel advances, and post-trip reconciliation.\u00a0
\n\tSupport procurement and vendor management activities, including obtaining quotes, tracking purchase orders, and coordinating with suppliers to ensure timely delivery of goods and services.\u00a0
\n\tProactively identify and take on ad hoc operational needs across the team, bringing a \u201cgo-getter\u201d mindset to fill gaps, improve processes, and ensure the team runs smoothly day to day.\u00a0<\/p>\n
Qualifications<\/p>\n
\tBS\/BA in Business, Finance, Accounting, Operations, or related field.
\n\t2-4 years of relevant experience (prior experience with an international non-profit\/NGO is an advantage).
\n\tAdvanced\u00a0Microsoft Excel\u00a0skills, and strong financial analysis and modeling skills.
\n\tAbility to pay close attention to detail with a high degree of accuracy.
\n\tDynamic individual with strong interpersonal, analytical and problem-solving abilities.
\n\tExcellent written and oral\u00a0communication skills.
\n\tSelf-motivated and capable of working independently as well as within a team.
\n\tAbility to prioritize tasks while working in a fast-paced, limited-structured environment.
\n\tProven customer service\u00a0orientation and ability to work collaboratively with diverse finance and\u00a0non-finance groups.
\n\tHighest ethical standards, a deep sense of collegiality, as well as a strong desire to create positive change on a big scale.<\/p>\n
