The Ideal candidate will also provide general administrative and organizational assistance to ensure the seamless day-to-day operations of the site, office buildings and exterior surfaces.<\/p>\n<p>Duties and Responsibilities<\/p>\n<p>Vendor Contract Administration and Document Management<\/p>\n<p>\tMaintain organized contract tracking systems and centralized database for all vendor agreements.<br \/>\n\tMaintain lease and property related files and ensure accurate and up-to-date records for easy retrieval.<br \/>\n\tEnsure proper documentation and tracking of vendor contracts, certificates of insurance (COIs) and related communications.<br \/>\n\tMonitor vendor performance and contract compliance to ensure adherence to iColo\u2019s standards and service agreements.<br \/>\n\tCollaborate with Area Facility Manager to address vendor performance and compliance deviations promptly.<br \/>\n\tSupport the Operations team in maintaining an efficient and accessible filing system.\u00a0<\/p>\n<p>Operational Support<\/p>\n<p>\tManage iColo\u2019s front office operations and oversee the administration of shared facilities and third-party office spaces.<br \/>\n\tSupport the procurement of office goods and services in line with operational requirements.<br \/>\n\tCoordinate and control physical access to the facility for clients, contractors, suppliers and visitors.<br \/>\n\tSupport the preparation of annual budgets, forecasts and monthly variance reports for operating and capital expenditures.<br \/>\n\tServe as the first point of contact for customer inquiries, ensuring prompt resolution through coordination with the Operations team.<br \/>\n\tCoordinate and schedule maintenance activities with vendors and customers.<br \/>\n\tBuild and maintain effective working relationships with internal stakeholders, customers, vendors and suppliers.<br \/>\n\tHandle incoming calls and inquiries, ensuring accurate logging, ticket creation and assigning to the relevant teams (e.g., Billing, Support).<br \/>\n\tMonitor and track service tickets to ensure timely resolution and closure in line with agreed SLAs, with accurate updates captured in the customer portal.<br \/>\n\tManage incoming mail and ensure proper distribution.<br \/>\n\tSchedule and coordinate meetings and customer events, taking into account available office space.<br \/>\n\tTrack and coordinate timely renewal of licenses, permits and memberships (e.g., City Council permits, OSHA compliance).<br \/>\n\tPrepare and submit iColo Service Centre (ISC) reports to the Area Facility Manager and relevant stakeholders.<br \/>\n\tHandle customer complaints by providing appropriate solutions within defined timelines and escalating where necessary.<br \/>\n\tEnsure adherence to iColo policies, procedures and operational standards.\u00a0\u00a0<br \/>\n\tAny other duties assigned.<\/p>\n<p>Minimum Requirements<\/p>\n<p>\tBachelor\u2019s degree in Business Management, Public Relations, Communications or a related field.<br \/>\n\tMinimum of three (3) years\u2019 experience in an administrative or customer service role.<br \/>\n\tProficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).<br \/>\n\tFamiliarity with Customer Relationship Management (CRM) systems is an added advantage<\/p>\n<p>The ideal candidate will need to have:<\/p>\n<p>\tStrong written and verbal communication skills, with the ability to engage effectively with team members, vendors and stakeholders.<br \/>\n\tExcellent organizational and time management skills, with the ability to prioritize tasks and manage competing demands.<br \/>\n\tHigh attention to detail, ensuring accuracy in documentation, reporting and data management.<br \/>\n\tCustomer-focused approach, with the ability to handle internal and external queries professionally.<br \/>\n\tStrong problem-solving skills, with the ability to identify issues, propose solutions and escalate where necessary.<br \/>\n\tAbility to work both independently and collaboratively within a team environment.<br \/>\n\tAdaptable and resourceful, with the ability to respond effectively to changing priorities.<br \/>\n\tBasic financial acumen to support routine financial and budget-related tasks.<br \/>\n\tProactive attitude, demonstrating initiative and willingness to take on additional responsibilities.<br \/>\n\tPeople-oriented approach, with the ability to build effective working relationships.<br \/>\n\tDependability, with a strong sense of reliability and punctuality.<\/p>\n<p>Apply Through:<\/p>\n<p>icolohr.bamboohr.com<\/p>\n","protected":false},"author":2,"featured_media":0,"template":"","meta":{"_promoted":"","_job_location":"","_application":"http:\/\/icolohr.bamboohr.com","_company_name":"iColo: A Digital Realty Company","_company_website":"http:\/\/www.icolo.io","_company_tagline":"iColo: A Digital Realty Company, is the leading carrier-neutral data center provider operating state of the art facilities in Kenya and Mozambique.
