{"id":95511,"date":"2026-05-05T08:02:15","date_gmt":"2026-05-05T08:02:15","guid":{"rendered":"https:\/\/jobs.dataaxisnode.com\/kenya\/job\/finance-and-administration-assistant\/"},"modified":"2026-05-05T08:02:24","modified_gmt":"2026-05-05T08:02:24","slug":"finance-and-administration-assistant","status":"publish","type":"job_listing","link":"https:\/\/jobs.dataaxisnode.com\/kenya\/job\/finance-and-administration-assistant\/","title":{"rendered":"Finance and Administration Assistant"},"content":{"rendered":"<p>Key Responsibilities:<\/p>\n<p>Accounts Payable and Transaction Processing<\/p>\n<p>\tCapture all financial transactions accurately and timeously in QuickBooks Online.<br \/>\n\tInitiate and process payments to vendors, staff, consultants, and service providers through both QuickBooks Online and the Citi banking platform.<br \/>\n\tEnsure all accounts payable are fully supported with appropriate documentation and correctly filed both electronically and physical copies<br \/>\n\tMaintain accurate records for:<br \/>\n\tVendor and supplier payments<br \/>\n\tConsultant and contractor fees<br \/>\n\tTravel, workshops, and training expenses<br \/>\n\tContracts and service provider invoices<\/p>\n<p>Reconciliations and Financial Controls<\/p>\n<p>\tPerform monthly supplier reconciliations and resolve discrepancies promptly.<br \/>\n\tPrepare supporting schedules for all balance sheet accounts in line with reporting requirements.<br \/>\n\tEnsure all financial transactions comply with Feed the Children financial policies, donor regulations, and Kenyan statutory requirements.<\/p>\n<p>Reporting and Donor Compliance Support the Finance Officer:<\/p>\n<p>\tWith the preparation of routine financial reports to support management decision-making, including expenditure analysis, and inventory reports.<br \/>\n\tWith the preparation of donor financial reports and other required financial disclosures.<\/p>\n<p>Advances and Tax Compliance<\/p>\n<p>\tPrepare, track, and monitor travel and workshop advances.<br \/>\n\tFollow up on outstanding advances and support timely and accurate retirement of advances.<br \/>\n\tEnsure withholding tax certificates are issued to suppliers in a timely manner and properly recorded.<\/p>\n<p>Records Management and Administration<\/p>\n<p>\tEnsure complete, accurate, and timely filing of financial documentation on the International Financial Management SharePoint.<br \/>\n\tad hoc finance and administrative support to the Finance Officer as required.<\/p>\n<p>Administration<\/p>\n<p>\tManage front desk and communication functions by handling calls, visitors and ensuring information and items are directed to the appropriate staff.<br \/>\n\tCoordinate with facility service providers to ensure the office environment is clean, safe, and well maintained.<br \/>\n\tHandle all aspects of correspondence, including receiving, sorting, and distributing incoming and outgoing communications. This ensures that information is delivered promptly and accurately to the appropriate parties<br \/>\n\tSupport meetings, events, and logistics coordination by assisting with meeting preparations, recording minutes, organizing events, and arranging travel, accommodation, and transportation for staff and participants.<br \/>\n\tManage and monitor office inventory by keeping track of supplies, ensuring adequate stock levels, and organizing replenishment when necessary.<br \/>\n\tServe as the main liaison between FEED and the outsourced cleaning service provider, coordinating day-to-day support and escalating operational issues.<\/p>\n<p>Qualifications:<\/p>\n<p>\tBachelor\u2019s degree in Business Administration, Finance, Accountancy, or a related field.<br \/>\n\tMinimum 2 years of experience in finance, administration role or accounting roles, preferably within an International NGO.<br \/>\n\tStrong knowledge of the Kenya tax laws, financial regulations, and reporting standards.<br \/>\n\tAdvanced analytical and problem-solving skills for financial data interpretation.<br \/>\n\tExcellent attention to detail and accuracy in financial reporting and transaction processing.<br \/>\n\tStrong verbal and written communication skills for financial discussions and reports.<br \/>\n\tAbility to work independently and collaboratively in a fast-paced environment.<br \/>\n\tHigh ethical standards, integrity, and reliability in financial management.<br \/>\n\tAdaptability and proactive approach to financial challenges and improvements. Proficiency in Microsoft Office applications (particularly Excel) and accounting systems such as QuickBooks Online.<br \/>\n\tPerform other related duties consistent with the employee\u2019s skills, experience, and capabilities as reasonably assigned<\/p>\n<p>Desirable Attributes:<\/p>\n<p>\tDemonstrated ability to maintain a high level of integrity and confidentiality when handling financial and organizational information.<br \/>\n\tStrong organizational and time management skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.<br \/>\n\tProactive, solutions-oriented mindset with the ability to anticipate needs and improve administrative and financial processes.<br \/>\n\tStrong interpersonal skills and the ability to work effectively with diverse teams across different locations.<br \/>\n\tExperience working in an international NGO environment or with donor-funded programmes.<br \/>\n\tFamiliarity with digital collaboration and document management systems such as SharePoint or similar platforms.<br \/>\n\tAbility to manage multiple responsibilities while maintaining accuracy and attention to detail.<br \/>\n\tCommitment to the values, mission, and safeguarding principles of Feed the Children.<\/p>\n<p>Work Conditions:<\/p>\n<p>\tOffice-based with occasional field assignments as required.<br \/>\n\tMay involve extended hours during financial reporting periods or audits.<br \/>\n\tRegular coordination with the finance team, external auditors, and regulatory bodies.<\/p>\n<p>Please send your CV to email address: feedinternationaljobs@feedthechildren.org by 18 May 2026.
