The business currently does not have a formal budget process, and leadership wants someone who can help build a budget,track performance against that budget, and provide regular updates showing where the<br \/>\n\tbusiness stands financially.The ideal candidate will be comfortable preparing weekly, monthly, quarterly, and annual financial reports, explaining numbers clearly to non-accounting stakeholders, and proactively flagging financial trends, risks, or inconsistencies.<br \/>\n\tBecause this is a real estate business, experience with real estate workflows,commission-based revenue, agent reimbursements, brokerage-related financial tracking,or real estate accounting is strongly preferred.<\/p>\n<p>Key Responsibilities<\/p>\n<p>Budget Creation, Budget Management &amp; Reporting<\/p>\n<p>\tAssist leadership in creating and maintaining a practical business budget.<br \/>\n\tTrack actual performance against the monthly budget.<br \/>\n\tPrepare weekly reports showing how the business is performing against the budget for the current month.<br \/>\n\tSupport monthly, quarterly, and annual financial reporting.<br \/>\n\tHelp leadership understand whether proposed expenses, hires, investments, or new commitments are within budget.<br \/>\n\tProvide clear financial visibility so the business is not relying on informal or reactive spending decisions.<\/p>\n<p>QuickBooks Online Bookkeeping &amp; Financial Management<\/p>\n<p>\tMaintain accurate day-to-day bookkeeping in QuickBooks Online.<br \/>\n\tReview existing books and identify whether cleanup is needed.<br \/>\n\tEnsure income, expenses, commissions, bonuses, payroll-related items, and owner\/partner-related transactions are properly categorized.<br \/>\n\tMaintain clean, organized, and audit-ready financial records.<br \/>\n\tReplace and improve the current external bookkeeping workflow if the client moves forward.<br \/>\n\tEnsure all books are current, accurate, and useful for management decision-making.<\/p>\n<p>U.S. Tax Preparation Support<\/p>\n<p>\tOrganize financial data and documentation for tax preparation.<br \/>\n\tSupport quarterly tax payment preparation for owner-partners where applicable.<br \/>\n\tHelp gather deductions and supporting documentation.<br \/>\n\tCoordinate with U.S.-based tax preparers or accountants as needed.<br \/>\n\tPrepare financial records in a format requested by tax professionals.<br \/>\n\tPrior experience supporting U.S. tax preparation is strongly preferred.<\/p>\n<p>Invoicing &amp; Agent Expense Reimbursement<\/p>\n<p>\tSupport invoicing for agent-related expenses where appropriate.<br \/>\n\tHelp track expenses that should be passed through to agents, such as upgraded photography packages or listing-related costs.<br \/>\n\tAssist with workflows where the company pays an expense upfront and later invoices the agent or deducts the amount from commission splits.<br \/>\n\tMaintain documentation of agent reimbursements, deductions, and expense allocations.<br \/>\n\tSupport future invoicing needs related to new developments or expanded business activity.<\/p>\n<p>Reconciliations &amp; Expense Tracking<\/p>\n<p>\tReconcile bank, debit card, and credit card transactions.<br \/>\n\tInvestigate uncategorized, duplicate, missing, or mismatched transactions.<br \/>\n\tEnsure receipts and supporting documentation are properly organized.<br \/>\n\tMaintain clean records in QuickBooks Online and Google Drive.<br \/>\n\tTrack expenses by category, business unit, partner, or agent as needed.<\/p>\n<p>Bill Pay, Payroll &amp; Payables Support<\/p>\n<p>\tAssist with bill pay processes.<br \/>\n\tMaintain payment schedules and vendor records.<br \/>\n\tSupport payroll-related tracking and coordination as needed.<br \/>\n\tEnsure bills, recurring payments, and vendor obligations are organized and visible.<br \/>\n\tHelp prevent missed payments, duplicate payments, or unclear expense ownership.<\/p>\n<p>Real Estate Commission &amp; Revenue Tracking<\/p>\n<p>\tHelp track income received from brokerage-related transactions.<br \/>\n\tSupport categorization of revenue tied to commissions, bonuses, salary, and other compensation structures.<br \/>\n\tAssist in organizing financial data where incoming brokerage payments do not clearly match outgoing allocations.<br \/>\n\tWork with leadership to improve clarity around real estate revenue streams.<br \/>\n\tUse available transaction and financial data to support more accurate financial projections.<\/p>\n<p>Financial Reporting<\/p>\n<p>\tPrepare and deliver regular financial reports, including:<br \/>\n\tProfit &amp; Loss statements<br \/>\n\tBalance Sheet summaries<br \/>\n\tCash flow visibility<br \/>\n\tBudget vs. actual reports<br \/>\n\tMonthly and quarterly performance summaries<br \/>\n\tPresent financial information in a clear, simple format for non-accounting stakeholders.<br \/>\n\tProactively flag financial trends, risks, inconsistencies, or unusual transactions.<br \/>\n\tHelp leadership make better decisions using accurate, timely financial data.<\/p>\n<p>Requirements<\/p>\n<p>Required Qualifications<\/p>\n<p>\t3 + years of bookkeeping, accounting, or financial operations experience.<br \/>\n\tStrong proficiency in QuickBooks Online.<br \/>\n\tExperience supporting U.S.-based clients or companies.<br \/>\n\tStrong understanding of bookkeeping and accounting fundamentals.<br \/>\n\tAbility to prepare and explain Profit &amp;
