Physical Security & Access Control (End-to-End Ownership)<\/p>\n
\tPolicy Enforcement:\u00a0Own the daily enforcement of Physical Security Guidelines, ensuring all zones (especially Production areas) are accessed only by authorized personnel.
\n\tSearch & Compliance:\u00a0Direct security guards in performing mandatory bag checks and enforcing the \u201cProhibited & Controlled Items\u201d list (e.g., personal phone ban in Production zones). Address all breaches with corrective action.
\n\tKey & Access Management:\u00a0Maintain strict control over physical keys, electronic access cards, and locker assignments \u2013 including shift-based handover logs and periodic audits.<\/p>\n
Facilities & Vendor Management (Full Stakeholder Liaison)<\/p>\n
\tOpening\/Closing Procedures:\u00a0Ensure daily opening and closing procedures are followed rigorously to maintain site integrity and client confidence.
\n\tContractor Management:\u00a0Act as the primary point of contact and decision-maker for all contractors (cleaning, pest control, maintenance, vending). Ensure they are pre-registered, escorted in restricted zones, and comply with work-order protocols.\u00a0Manage vendor performance and escalate non-compliance.
\n\tCatering Logistics:\u00a0Manage food vendors to ensure hygienic delivery, temperature control, and storage of meals across all shifts. Monitor and enforce cleanliness of break-out and kitchen areas. Resolve catering-related grievances directly.
\n\tClean Desk Policy:\u00a0Lead periodic inspections to ensure adherence to Media, Document, and Clean Desk standards. Report non-compliance to operations management and implement corrective measures.
\n\tClient & Internal Liaison:\u00a0Regularly engage with operations staff, cleaning teams, security, transport providers, and\u00a0client representatives\u00a0to address facility-related concerns proactively.<\/p>\n
Health, Safety & Emergency Response<\/p>\n
\tEmergency Readiness:\u00a0Lead and coordinate quarterly fire and emergency drills, ensuring all marshals and first-aiders are trained and headcounts are accurately recorded.\u00a0Own the emergency response plan.
\n\tIncident Management:\u00a0Serve as the primary escalation point for all security or facility incidents. Document root causes, implement corrective actions, and provide incident reports to management and the client as needed.
\n\tCommunity Liaison:\u00a0Professionally manage and resolve neighbour-related complaints (noise, waste, lighting). Document all interactions and implement preventive measures to avoid recurrence.<\/p>\n
Transportation Coordination (End-to-End)<\/p>\n
\tRoute & Schedule Management:\u00a0Own daily staff transport scheduling for both day and night shifts \u2013 ensuring efficient route mapping and timely pick-ups\/drop-offs. Adjust routes as needed based on operational feedback.
\n\tVendor Performance Management:\u00a0Monitor transport vendor adherence to safety regulations and professional conduct. Review trip logs for monthly cost control.\u00a0Address driver or vehicle issues directly with vendor management.<\/p>\n
Facilities Maintenance (Proactive & Reactive)<\/p>\n
\tInspections:\u00a0Conduct and document periodic inspections of the entire premises, proactively identifying and resolving issues before they impact operations.
\n\tMaintenance Scheduling:\u00a0Manage reactive and planned preventative maintenance (PPM) for critical installations (UPS, generators, HVAC, access control, CCTV). Ensure minimal operational downtime.<\/p>\n
Requirements<\/p>\n
\tBachelor\u2019s degree in Business, Facilities Management, Engineering, or related field
\n\tMinimum\u00a05+ years\u00a0in facilities or security management, with\u00a0at least 2 years in a BPO, contact center, or PCI-regulated environment.
\n\tProven experience managing\u00a0vendors, contractors, and cross-functional stakeholders\u00a0(operations, client representatives, security, cleaning, transport, catering).
\n\tExperience in a\u00a024\/7 shift-based operation\u00a0is highly preferred.
\n\tStrong familiarity with\u00a0Kenya\u2019s Data Protection Act\u00a0(physical controls around client data).
\n\tWorking knowledge of\u00a0Public Health Act\u00a0(food handling) and\u00a0Occupational Safety & Health Act, 2007.
\n\tAbility to manage\u00a0CCTV, biometric access control systems, and facility maintenance oversight. Proficiency in incident reporting tools (e.g., Jira, Smartsheet, or Excel-based logs).<\/p>\n
