Affiliated with Kamuzu University of Health Sciences (KUHeS) and strategically based at Queen Elizabeth Central Hospital, Malawi, MLW collaborates closely with communities and operates several field sites across Malawi. These relationships create a unique setting for conducting impactful health research and enhancing in-country research capacity.After 30 years of excellence, MLW is undergoing a rebranding initiative, which includes an interior decoration project aimed at enhancing the aesthetics and functionality of its facilities at its main campus and across its field sites. To guide this initiative, MLW seeks to engage a qualified Interior Design Consultant to manage the project from concept to completion.ObjectivesThe consultancy aims to:Develop comprehensive Terms of Reference (ToRs) and Scope of Work (SoW) for the interior decoration project.Support the tendering process, including document preparation and bid evaluation.Supervise project implementation to ensure adherence to design and quality standards including regulatory requirements.Monitor and report on project progress and performance.ResponsibilitiesScope of WorkThe Consultant will undertake the following responsibilities:Planning and Design DevelopmentConduct site assessments and gather user requirements.Comprehensively study as built drawings for all structures to assess interior design constraints and requirementsDevelop multiple design concepts with visualizations and sample materials.Prepare detailed design drawings, technical specifications, and cost estimates for the approved concept.Tendering AssistancePrepare comprehensive tender documents, including BoQ, technical specifications, and evaluation criteria.Assist with tender advertisement and bidder queries in line with MLW tendering procedures and guidelinesParticipate in bid evaluation and recommend contractor selection.Implementation SupervisionOversee execution of decoration works to ensure alignment with specifications.Conduct site inspections and meetings with contractors to monitor progress.Review and approve samples, drawings, and mock-ups.Certify works and assist in contractor payment processes.Monitoring and ReportingProvide progress reports including photographs and budget updates.Flag any deviations and suggest corrective actions.Conduct final inspection and submit a comprehensive completion report.DeliverablesThe Consultant will provide:Initial site assessment and design concept proposals.Finalized design drawings and specifications.Complete tender documents and bid evaluation report.Periodic supervision reports and meeting minutes.Final project completion report including relevant drawings and schematic updates.DurationThe timeframe for the full assignment from inception to close out is expected to be 1 yearQualifications and ExperienceThe Consultant must have:A qualification or proven experience in\u00a0Interior Design\u00a0or a related field.At least\u00a03-5 years\u00a0of experience in interior design and project supervision.Proven experience managing similar end-to-end design projects.Familiarity with procurement and contract management.Strong communication, coordination, and reporting skillsReportingThe Consultant will report to the MLW Interior Design Project Committee and will work closely with relevant departments including Facilities, Procurement, Field Sites, Communication, IT, Outsources Marketing Agencies and Senior Management.ConfidentialityAll project-related data, designs, and documents are to be treated as confidential and may not be shared without prior written approval from MLW.\u00a0RequirementsSubmission RequirementsInterested Consultants should submit:A\u00a0technical proposal, detailing the approach to the assignment.A\u00a0financial proposal, aligned with deliverables in Section 4Project timelines.Staffing and their experiencePortfolio of similar work done beforeSubmission Deadline:20th July 2025 at 5pmSubmit to:Internal Procurement and Disposal Committee (IPDC)
