    Job Description

    Role Overview
The Executive Assistant – Strategic Operations protects the Group CEO’s bandwidth, drives execution rhythm across Sacvin and BSV, and turns Group-level priorities into tracked, executed action across every department. The role manages multi-threaded workstreams to closure, handles confidential and Board-level materials, and provides closer support on the Group CEO’s continuing direct oversight of Sacvin’s finance function CFO capacity and Exports & NBD Corporate Packaging — with the confidence to represent the Group CEO’s office in day-to-day interactions.
    Key Responsibilities
Executive Office Management & Time Protection
Manage the Group CEO’s calendar, appointments, meetings, and travel across both Sacvin and BSV.
Filter and redirect operational requests to the right department head before they reach the Group CEO — success measured by operational load absorbed, not just scheduling accuracy.
Prioritise competing demands in line with Group-level priorities.
Prepare daily briefs, itineraries, and pre-reads; manage confidential correspondence.
Strategic Priority Tracking & Execution Rhythm
Own the tracking mechanism for the Group’s strategic priorities and quarterly objectives — status, ownership, deadlines.
Drive a consistent execution rhythm through each department’s hierarchy — cadence of updates, follow-ups, and reviews.
Flag slippage or misalignment early, before it becomes a bottleneck.
Maintain executive dashboards on progress against Group-level priorities.
    Exhaustive Project & Initiative Management
Drive multiple concurrent, cross-functional initiatives to closure — active follow-through, not just status monitoring.
Maintain detailed trackers with clear next steps and accountable owners.
Coordinate directly with department heads to unblock delayed deliverables.
    Financial & Commercial Coordination
Support preparation of Group-level management reports, financial presentations, and Board materials.
Coordinate budgeting/forecasting meetings; consolidate departmental and entity-level reports.
Navigate complex Excel-based financial models to prepare executive-ready summaries.
Track CAPEX approvals and major financial projects across both entities.
Provide closer, hands-on support on the Group CEO’s direct oversight of Sacvin’s finance function and Exports & NBD Corporate Packaging.
Coordinate meetings with customers, suppliers, financial institutions, and strategic partners; monitor proposal approvals and contract documentation.
    Reporting & Analytics
Prepare weekly and monthly executive dashboards covering both entities.
Analyse performance reports and flag areas requiring executive attention.
    Develop Board-ready PowerPoint presentations.
Maintain accurate executive records and documentation.
    Stakeholder Management & Governance
Coordinate executive engagements with banks, external auditors, government agencies, investors, regulatory bodies, consultants, customers, and vendors.
Maintain confidential records with the highest level of discretion.
    Support Board and Committee meetings.
Ensure documentation complies with company policy; coordinate policy implementation tracking.
    Competencies to Prioritise
    Technical
Advanced Excel Pivot Tables, Power Query, dashboards; able to navigate complex, multi-tab financial models.
    PowerPoint — Board-ready presentation development.
    ERP systems Oracle an advantage.
    Formal project management tools/methodology.
Strong business writing and report preparation.
    Business, Financial & Behavioural
    Financial & Analytical Rigour:
Strong financial literacy — comfortable reading financial reports and dashboards, spotting inconsistencies, and flagging questions before materials reach the Group CEO.
    Executive Presence:
Composed, confident demeanour that reflects well on the Group CEO’s office; represents it credibly with stakeholders; holds a firm line on deadlines without unnecessary escalation.
    People Skills & Judgement:
Builds rapport easily across personalities and working styles; reads situations well — knows when to push, hold back, or bring in the Group CEO.
    Behavioural:
High integrity and discretion; exceptional organisational and time-management skills; proactive follow-through that drives outcomes without repeated prompting.
    Qualifications
Bachelor’s degree in Business Administration, Finance, Accounting, Economics, or related discipline.
    Master’s degree an added advantage.
PMP, CAPM, or equivalent project management certification strongly preferred.
    Experience
    7–10 years supporting a Group-level or multi-entity C-suite executive; single-entity EA/ED experience alone is not sufficient.
    Manufacturing industry experience preferred.
Background in project management, strategy coordination, or chief-of-staff-type functions preferred over a purely administrative EA background.
Demonstrated experience managing multiple concurrent, cross-functional initiatives to completion.
    Key Performance Indicators KPIs
