About NACOSA:
NACOSA (Networking HIV, AIDS Community of Southern Africa) is a leading non-profit organisation working in communities across South Africa. It focuses on building strong, resilient organisations and communities to respond effectively to HIV, AIDS, TB, gender-based violence (GBV), Human Rights, and broader public health and social challenges.
The duties and responsibilities of the Fleet and Assets Administrator will include, but not limited to:
Provide operational support to NACOSA and implementing partners for the day-to-day use of fleet vehicles, equipment, and facilities.
Coordinate the setup, maintenance, and user training of specialised vehicle systems (e.g., waste management, clinical compartments).
Ensure compliance with fleet regulations, safety standards, and organisational policies.
Monitor vehicle usage, coordinate maintenance, and manage tracking systems to detect misuse or unsafe driving.
Maintain accurate asset records, including laptops, furniture, and medical equipment, across all offices.
Conduct regular asset audits, coordinate transfers/disposals, and support procurement planning.
Support fleet and asset budgeting, and assist with cost tracking, claims, and financial reporting.
Update trackers and prepare regular reports on vehicle servicing, licensing, driver behaviour, and asset utilisation.
Collaborate with Finance, IT, and Procurement teams to streamline processes and ensure accurate documentation.
Perform ad hoc administrative tasks and stand in for colleagues or managers when needed.
Job Requirements
Required qualifications, skills and experience
Post-Matric qualification in Fleet Management, Logistics, or related field.
Bachelor’s degree advantageous.
Minimum 3 years’ experience in fleet and asset administration.
Knowledge of vehicle maintenance, repair scheduling, tracking systems, and health & safety regulations.
Experience in NGOs, healthcare, or pharmaceutical sectors is beneficial.
Proficient in MS Office; ERP/finance systems (e.g., Netsuite) experience an advantage.
Fluent in English and at least one other South African language (African language preferred).
Valid Code C1 driver’s license with no endorsements.
