Main Focus Areas
The Theatre stock Controller is responsible for maintaining stock levels and stock control in the Theatre storeroom. Responsible to provide comprehensive administrative and coordination support to Theatre, ensuring the smooth and efficient functioning of daily theatre operations. Serves as a central communication link between surgeons, clinic manager, anaesthetists, nursing staff, other departments and external stakeholders. Also responsible for the accurate capturing, verification, processing of all theatre-related changes/billing to ensure correct and timely, managing and ensuring that all consumables, services, procedures, equipment usage, and time-based theatre cost are billed in accordance with hospital tarrifs medical aid requirements, and regulatory guidelines.
Key Performance Areas: (include but are not limited to)
Stock Management and Supply Chain: Expertly manage surgical product knowledge, Surgicom orders, stock levels, expiries, specialized ordering, and inventory counts to optimize supply chain efficiency.
Administrative and Supplier Coordination: Handle PO/credit reconciliations, supplier communications, stock targets, cost controls, and replenishment systems for seamless administrative operations.
Theatre Scheduling and Stakeholder Liaison: Coordinate procedure bookings, theatre lists, amendments, special requirements, and multi-stakeholder communications while maintaining an accurate booking system.
Patient and Procedure Administration: Generate SAP patient cases, uphold confidentiality/POPIA compliance, and produce daily reports/statistics for theatre performance tracking.
Billing, Revenue, and Compliance: Accurately capture/reconcile charges, verify tariffs, resolve discrepancies, support audits/reconciliations, and drive revenue targets through precise billing practices.
Post Requirements: (include but are not limited to)
Grade 12 or equivalent NQF level 4 qualification
Previous experience in stock management – advantageous
Intermediate computer literacy – MS
Knowledge and experience of a pharmaceutical stock control system
SAP, Surgicom, and Unisove experience – essential
Previous experience in hospital, theatre administrative environment – preferred
Knowledge of surgical terminology and theatre processes – advantageous
Experience with patient admissions and booking systems
Strong organizational and time management skills
High-level of accuracy and attention to detail
Ability to work under pressure and in high pace environment
Effective communication and interpersonal skills
Professional telephone etiquette
Ability to multitask and prioritize workload effectively
Experience in theatre or surgical billing
Understanding of theatre procedures and all chargeable items
