Gauteng"},"content":{"rendered":"<p>MAIN FUNCTIONS OF THE JOB INCLUDE:<\/p>\n<p>Security<\/p>\n<p>\tAssist in overseeing daily security operations at head office and branches.<br \/>\n\tLiaise with security personnel and branch managers to resolve security issues.<br \/>\n\tMonitor guard performance, patrols, and monthly reports.<br \/>\n\tReview and process security service invoices and payment requisitions.<\/p>\n<p>Occupational Health &amp; Safety<\/p>\n<p>\tMonitor and ensure compliance with OHS regulations through audits, site visits, and regular follow-ups.<br \/>\n\tCoordinate and document quarterly OHS meetings, fire drills, and evacuation drills.<br \/>\n\tMaintain up-to-date OHS signage and training records across all sites.<br \/>\n\tPrepare and submit monthly and quarterly compliance reports to the Facilities Manager and Executive Committee.<br \/>\n\tTrack and follow up on all outstanding safety issues and audit queries.<\/p>\n<p>Cleaning<\/p>\n<p>\tMonitoring daily cleaning operations to ensure service standards are met.<br \/>\n\tManaging and controlling stock levels of consumables within budget.<br \/>\n\tCoordinating additional cleaning services as needed.<br \/>\n\tMaintaining daily staff registers and ensuring appropriate staffing levels.<\/p>\n<p>Maintenance and General Maintenance of the Building<\/p>\n<p>\tAssisting in the coordination of building maintenance, including electrical, plumbing, HVAC, structural checks, and pest control.<br \/>\n\tConducting regular inspections of air-conditioning units, generators, UPS systems, and other critical infrastructure.<br \/>\n\tOverseeing maintenance of CCTV, alarm systems, and garden services in collaboration with relevant departments and service providers.<br \/>\n\tEnsuring compliance with service level agreements for routine cleaning, deep cleans, and external contractor services.<\/p>\n<p>Parking Area Management including Company Pool Vehicles (Update in line with Supervisor)<\/p>\n<p>\tManaging parking facilities and ensuring accurate monthly fee collection and reporting.<br \/>\n\tMaintaining cleanliness and order in basement and podium parking areas.<br \/>\n\tOverseeing company vehicle maintenance, licensing, insurance claims, and servicing.<br \/>\n\tCoordinating with Legal on vehicle-related incidents and managing vehicle acquisitions and disposals.<br \/>\n\tReviewing and authorizing auto card reconciliations and payment requisitions for vehicle expenses.<\/p>\n<p>Office Administration<\/p>\n<p>\tAssisting with oversight of reception, switchboard, and general office support staff.<br \/>\n\tManaging departmental registers, mail handling, and payment requisitions.<br \/>\n\tProviding backup support for reception and switchboard when needed.<br \/>\n\tMonitoring debit card usage and processing monthly accruals.<br \/>\n\tMaintaining and updating the fixed asset register and related systems.<\/p>\n<p>Courier &amp; Document Services<\/p>\n<p>\tCoordinating local and international document, equipment, and goods shipments.<br \/>\n\tCompleting courier forms and maintaining a courier register.<br \/>\n\tTracking deliveries and reconciling courier service accounts.<br \/>\n\tReviewing courier service providers annually with the Facilities Manager.<br \/>\n\tAssisting with the replication, collation, and distribution of documents as needed.<br \/>\n\tHandling bulk photocopying, binding, and preparing Director\u2019s packs for meetings.<br \/>\n\tFiling documents and maintaining photocopier equipment.<br \/>\n\tMonitoring and reporting photocopier usage to Finance.<\/p>\n<p>Stationery Management<\/p>\n<p>\tOrdering and purchasing office stationery, ensuring proper authorisation.<br \/>\n\tMonitoring and reconciling stationery stock levels.<br \/>\n\tOverseeing the ordering process via the Waltons system.<br \/>\n\tCoordinating printed stationery orders for various departments and branches in collaboration with Marketing.<\/p>\n<p>Travel, Accommodation and Car Hire<\/p>\n<p>\tAssisting with the booking of local and international air travel through the travel management company and TravelIT.<br \/>\n\tCoordinating car hire and transportation for staff as requested by HR and departments.<\/p>\n<p>Driver &amp;
