Key Responsibilities<\/p>\n
Ward Secretary Duties<\/p>\n
\tGreet, assist, and accompany patients and visitors within the facility when needed
\n\tAdmit patients and create accurate electronic records
\n\tMaintain and update patient files and medical charts
\n\tAnswer phone calls and pages professionally and efficiently
\n\tAssist patients with completing forms and scheduling appointments
\n\tRecord diagnoses and treatments on insurance and medical forms
\n\tProcess patient discharge documentation
\n\tPrepare and provide medical files and charts for staff
\n\tAssist with billing and medical coding
\n\tSchedule staff meetings and perform general office duties (copying, filing, etc.)<\/p>\n
\u00a0Stock Control Duties<\/p>\n
\tPick, pack, label, and check medication and consumables
\n\tMonitor and report on stock levels; address out-of-stock issues promptly
\n\tConduct weekly cycle counts and quarterly full stock takes
\n\tEnsure accurate billing using correct NAPPI codes
\n\tStay updated on medical aid requirements and claims processes
\n\tWork closely with nursing, case management, and pharmacy teams
\n\tMaintain compliant and organised stock storage areas<\/p>\n
\u00a0Minimum Requirements<\/p>\n
\tGrade 12 (Matric)
\n\tQualification or proof of active study in Office Administration or Pharmacy Assistance
\n\tPrevious experience in a healthcare or medical practice environment (advantageous)
\n\tComputer literate with solid Excel skills (SUM, AVERAGE, MIN, MAX, data sorting)
\n\tFamiliarity with healthcare systems and patient data management
\n\tExcellent communication, organisation, and interpersonal skills
\n\tHigh attention to detail and numerical accuracy
\n\tAbility to multitask and thrive in a clinical environment<\/p>\n
