Primary Responsibilities Include:<\/p>\n
\tManage, coordinate, and maintain the calendar of the General Manager – including appointments, meetings, and travel.
\n\tScreen and direct phone calls for the Executive Office.
\n\tMake travel arrangements for the General Manager, and the Executive Management team from time to time.
\n\tResponsible for organising internal and external meetings on behalf of the General and Hotel Manager, ensuring all necessary requirements are made.
\n\tMonitor and respond to incoming communications to the office of the General Manager, including phone calls, emails, post, and walk-ins.
\n\tServe as a link between Executive Office and Departmental Leaders to promote inter-departmental communications.
\n\tManage guest and client relations on behalf of the General Manager; while ensuring you act as an ‘extension” of the GM.
\n\tAssist with project management for the General and Hotel Manager to ensure project goals are met within given deadlines.
\n\tProvide project updates on a consistent basis to relevant stakeholders.
\n\tCoordinate all relevant monthly management meetings for all Department Heads and ensure minutes and action outcomes are distributed and followed upon.
\n\tProvide secretarial support for meetings as and when required by the General and Hotel Manager, including drafting, and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues, and arranging refreshments.
\n\tBe aware of all VIP\u2019s \u2013 both in house and arrivals.
\n\tEnsure that you adhere to the Leading Quality Assurance standards for Reservations.
\n\tTo carry out any other functions and responsibilities as directed by the General and Hotel Manager.
\n\tStay up-to date about room rates, current promotions, offers and packages.
\n\tEnsure that long stay and regular guests are acknowledged, and their preferences are actioned and retained for future stays.<\/p>\n

\tPrevious experience in a similar role \u2013 advantageous.
\n\tPrevious experience in luxury hospitality, advantageous
\n\tGood oral and written communication skills.
\n\tAbility to follow instructions & work independently when required.
\n\tA high level of professionalism and confidentiality\/discretion.
\n\tTact and diplomacy.
\n\tExcellent administration skills and organisational skills.
