Qualifications & Experience:<\/p>\n
\tDegree\/Diploma in Supply Chain Management\/Logistics\/Finance
\n\t1-2 years relevant working experience
\n\tExperience of working on SAGE Evolution would be advantageous\u00a0<\/p>\n
Key Responsibilities:<\/p>\n
Committee Administration:<\/p>\n
\tUndertake administrative tasks related to bid specifications, bid evaluations and bid adjudication
\n\tDrafting letters to appoint committee members for CEO approval and signature
\n\tSend out committee appointment letters and receive acceptance letters from appointed members
\n\tSend out meeting dates for each committee
\n\tKeep SCM Manager informed of the non-availability of committee members
\n\tCollate and send all relevant documentation for each meetings including draft terms of reference or committee reports
\n\tPreparation of meeting governance documents such as attendance registers and ensure completion by all attendees
\n\tBook boardroom and make logistical arrangements for the meetings
\n\tEnsure recording of proceedings
\n\tDraft minutes from notes taken and\/or from meeting recordings
\n\tSend draft minutes to meeting chairperson for approval
\n\tSend final minutes to all committee members once approved
\n\tFile all documentation electronically and in hard copies per meeting for record keeping and audit purposes<\/p>\n
Filing:<\/p>\n
\tMaintain departmental filing system
\n\tEnsure all proceedings relating to record-keeping are followed \u2013 both electronic and physical
\n\tTrack holding times and identify when documents can move to off-site storage<\/p>\n
General Administration:<\/p>\n
\tRespond to administration and process related SCM queries
\n\tReceive purchase requisitions and allocate unique number to each
\n\tGenerate PO, Match purchase orders to goods received notes
\n\tSchedule meetings and prepare documentation for quarterly supplier performance evaluations with contracted service providers
\n\tTake minutes at supplier performance evaluations
\n\tDraft minutes for approval
\n\tSend out and file approved minutes
\n\tKeep record of deviations in the department
\n\tManagement of SCM supplier database<\/p>\n
