{"id":12826,"date":"2025-07-02T12:00:55","date_gmt":"2025-07-02T12:00:55","guid":{"rendered":"https:\/\/jobs.dataaxisnode.com\/southafrica\/job\/administrative-assistant-office-ceo\/"},"modified":"2025-10-03T14:35:40","modified_gmt":"2025-10-03T14:35:40","slug":"administrative-assistant-office-ceo","status":"expired","type":"job_listing","link":"https:\/\/jobs.dataaxisnode.com\/southafrica\/?post_type=job_listing&p=12826","title":{"rendered":"Administrative Assistant Office CEO"},"content":{"rendered":"<p>Key Performance Areas:<\/p>\n<p>General Administration<\/p>\n<p>\tProvide support for projects and other work initiated by the CEO, HDA Executive Committee and the Senior Officer \u2013 Executive Committee.<br \/>\n\tElectronically and manually update Committee files and records, insert attendance registers, notifications, correspondence, and minutes in accordance with established referencing sequences.<br \/>\n\tLiaise with Heads of Departments, key staff, external committee members, etc, to ensure that actions agreed at meetings have been carried out.<br \/>\n\tAssist with the coordination of meetings requirements such as meeting venues, IT infrastructures, refreshments, etc.<br \/>\n\tAssist with processing and monitoring of invoices, travel claims and expense claims for payment.<br \/>\n\tCoordination of reports to be submitted to the Board and Sub-Committees for all meetings and preparing cover pages to be approved by the CEO.<br \/>\n\tManage and coordinate travel requirements for the Office and EXCO members in consultation with EXCO Coordinators and to ensure that travel is aligned with approved travel policies and National treasury guidelines.\u00a0<\/p>\n<p>Document Management<\/p>\n<p>\tOversee the storage and maintenance of existing documents within the Office of the CEO.<br \/>\n\tOversee and manage the Office of the CEO document and management (IMIS) system.<br \/>\n\tMonitor and update stored information and data.<br \/>\n\tMaintain database of service providers, clients and other key stakeholders on programme and projects.<br \/>\n\tSupport the department in quality management systems implementation and management.<br \/>\n\tEnsure effective and efficient document movement and tracking for approvals between departments.<\/p>\n<p>Financial Planning and Management<\/p>\n<p>\tAssist with monitoring departmental spending of ongoing projects against the budget.<br \/>\n\tAssist with management of the department procurement and related requirements.<br \/>\n\tManage the submission of invoices to finance department and ensure invoices are paid on time.<br \/>\n\tEnsure compliance and adherence to HDA procurement processes both internally and externally.\u00a0<\/p>\n<p>Qualifications and Experience:<\/p>\n<p>\tGrade 12 or similar qualification.<br \/>\n\tPost-matric qualification will be an added advantage.<br \/>\n\tRelevant experience in administration and coordination.<br \/>\n\tCompetent in Ms Office Package (Word, Excel, PowerPoint, Outlook)<br \/>\n\tAbility to communicate effectively.<br \/>\n\tOperate independently, delivering high-quality results, accuracy and attention to detail.<\/p>\n<p>Apply via company website ( N \/ A ) or<\/p>\n<p>thehda.co.za<\/p>\n<p>&nbsp;<\/p>\n","protected":false},"author":2,"featured_media":0,"template":"","meta":{"_promoted":"","_job_location":"","_application":"http:\/\/thehda.co.za","_company_name":"Housing Development Agency (HDA)","_company_website":"http:\/\/N%20\/%20A","_company_tagline":"The Housing Development Agency (HDA) is a national public sector development agency that acquires and prepares land as well as develop the land and project manage the development of housing and human settlements.
