Job Description<\/p>\n
\tWe are looking for a practical, process-driven finance professional to join our fast-paced financial management team. This role is ideal for someone with solid experience in finance administration or bookkeeping within one company, who is confident taking full ownership of recurring finance cycles and thrives in delivering accurate, on-time results with minimal supervision.
\n\tYou will play a key role in ensuring seamless financial operations across invoicing, debtors, payments, reconciliations, reporting, and compliance. Your attention to detail, systems confidence, and ability to spot and solve operational gaps will contribute directly to a scalable and efficient finance function.<\/p>\n
Key Responsibilities<\/p>\n
Client Invoicing<\/p>\n
\tOwn the end-to-end client invoicing process across various billing types
\n\tPrepare and issue tax invoices accurately and timeously
\n\tManage updates to recurring and re-scoped invoices with precision<\/p>\n
Debtors Management<\/p>\n
\tOversee the full debtors lifecycle, from invoicing to collection
\n\tManage debit order processing and follow-ups on overdue accounts
\n\tDeliver weekly debtors reporting and ensure timely communication with clients
\n\tKeep payment expectations current in Xero and Float<\/p>\n
Payment Approval & Expense Allocation<\/p>\n
\tCapture and review supplier invoices for completeness and accuracy
\n\tManage approval workflows through Approval Max and ensure proper allocations
\n\tOwn the weekly and monthly payment runs (Paysoft and bank platforms)
\n\tUpdate payment schedules and maintain supplier expectations in Xero and Float<\/p>\n
Bank & Control Account Management<\/p>\n
\tPerform and review regular bank reconciliations across multiple accounts
\n\tMaintain accuracy in financial control accounts and statutory records
\n\tManage updates to the fixed asset register and related reconciliations<\/p>\n
Monthly Accounting<\/p>\n
\tDrive the month-end close process, ensuring accuracy and deadlines are met
\n\tPrepare monthly reconciliations, VAT201 submissions, provisions, and accruals
\n\tMaintain month-end accounting documentation and SOP checklists<\/p>\n
Reporting & Review<\/p>\n
\tPrepare and deliver weekly and monthly financial and operational reports
\n\tEnsure data accuracy and completeness across divisional reporting
\n\tWork with leadership to support decision-making through clean financial data<\/p>\n
CRM & Query Management<\/p>\n
\tIndependently manage internal and external finance queries via Zoho and shared mailboxes
\n\tMaintain accurate records in CRM and address client-specific invoicing requests promptly<\/p>\n
Process Improvement & SOP Development<\/p>\n
\tIdentify inefficiencies and lead improvements across finance operations
\n\tDraft and update SOPs to ensure scalable, repeatable finance processes
\n\tProactively plug gaps, improve turnaround times, and enhance reporting accuracy<\/p>\n
Requirements<\/p>\n
\tThe ideal candidate for this position will have around 5 years’ experience and hold a relevant Diploma.<\/p>\n
Skills and Experience of the ideal candidate:<\/p>\n
\tA seasoned Finance Administrator or Bookkeeper with 3+ years in a full-function role
\n\tHands-on experience using Xero, Float, Approval Max, Paysoft, and Zoho CRM
\n\tProven track record of owning recurring finance cycles with minimal supervision
\n\tStrong process mindset with the ability to document, improve, and scale workflows
\n\tPractical, focused, and consistent \u2014 someone who gets things done calmly and accurately
\n\tComfortable mentoring junior team members and contributing to a strong finance culture<\/p>\n
