Purpose of the role<\/p>\n
\tThe incumbent will be responsible for ensuring effective communication between clients, contractors, and our internal team, as well as managing project timelines and updates through various platforms.<\/p>\n
Key Performance Areas:<\/p>\n
Contractor Management<\/p>\n
\tVerify that contractors are on site for scheduled jobs each day.
\n\tFollow up with contractors for site inspection dates and ensure timely communication before site visits.
\n\tEnsure that the correct job is allocated to the correct Service Providers.<\/p>\n
Job Tracking and Coordination<\/p>\n
\tMonitor Monday.com for new job assignments and updates on a daily basis.
\n\tCheck WHIZZOH dashboard for newly accepted jobs and ensure all new jobs are displayed accurately.
\n\tEscalate rejected jobs to Service Providers within 24 hours.
\n\tFollow up on open and escalated jobs.<\/p>\n
Communication and Group Management<\/p>\n
\tEnsure customers accept and access the whizzoh link sent to them along with the terms and conditions within 24hrs.
\n\tConfirm and verify the installation\/delivery site addresses with customers.<\/p>\n
Quotation and Order Processing<\/p>\n
\tCheck stock availability and create detailed Pyxis quotes including materials and labour costs.
\n\tUpload a full detailed quote on the Whizzoh dashboard .
\n\tFollow up on quotes within 48 hours to ensure acceptance and proceed with necessary actions.<\/p>\n
Payment and Delivery Coordination<\/p>\n
\tAllocate received payments and update the dashboard accordingly.
\n\tCoordinate order deliveries with the store and supply chain and follow up with contractors the day before installation.<\/p>\n
Ensure job completion .<\/p>\n
\tFollow up on all previous customers for feedback and additional services.<\/p>\n
Botched Job Process<\/p>\n
\tEscalate all botched jobs to the SP office within 24 hours of identifying the issue.
\n\tExplain the details of the botched job along with order information and pictures to be uploaded .
\n\tCoordinate with the line manager to send a communication to service provider\/third party Service Provider regarding the botched job.<\/p>\n
In-Store Activities<\/p>\n
\tConduct floor walks to ensure store standards are maintained.
\n\tProvide sales training on the floor when required.
\n\tEnsure all new joiners are trained in installation processes.
\n\tFollow up on orders with order management.
\n\tCoordinate with departments to follow up on all customer service orders.
\n\tConduct SKU department training.
\n\tParticipate in the morning brief meeting.<\/p>\n
Administrative Duties<\/p>\n
\tDaily update of project statuses and job details on Monday.com.
\n\tMaintain effective communication and coordination across all relevant platforms to ensure smooth project execution.<\/p>\n
Requirements<\/p>\n
Minimum Requirements<\/p>\n
\tGrade 12 and post relevant qualification
\n\tProven experience in project coordination\/administration or a similar role.
\n\tStrong organisational and multitasking skills.
\n\tExcellent communication skills, both written and verbal.<\/p>\n
Meas<\/p>\n
\tProficiency in using Monday.com, Slack, and WhatsApp for business communication.
\n\tAbility to work independently and as part of a team.
\n\tAttention to detail and problem-solving skills.<\/p>\n
Work Environment<\/p>\n
\tThis position may require both remote and on-site work depending on project needs.
\n\tThe Project Coordinator will interact with various stakeholders, including clients, contractors, and internal team members, to ensure project success<\/p>\n
