Support: Strategic Research Support)"},"content":{"rendered":"<p>Job description<\/p>\n<p>\tThis position is responsible for providing professional assistance and support to the Director of Compliance, Risk and Enforcement (CRE), as well as the team, in executing the administrative functions of the unit to ensure that theoffice and the domain function effectively.<\/p>\n<p>Responsibilities:<\/p>\n<p>General Administration<\/p>\n<p>\tEffectively and timely perform departmental and administrative tasks.<br \/>\n\tAssist in monitoring unit compliance with the UJ and regulatory body policies, procedures, and regulations.<br \/>\n\tDraft correspondence and communication, including compiling reports, memoranda, and other documents.<br \/>\n\tTake and distribute minutes at meetings.<br \/>\n\tMaintain office files.<br \/>\n\tBe an active participant in staff meetings.<br \/>\n\tSort, organise, and distribute mail.<br \/>\n\tGeneral administration tasks are as instructed by the line manager.<br \/>\n\tArrange and coordinate workshops, functions, conferences, etc., for the staff and guests.<br \/>\n\tArrange travel and accommodation for official business trips and conferences.<br \/>\n\tCoordinate and record all stationery, refreshments, and other supplies required by the staff.<br \/>\n\tKeeps up to date with the functioning of the department to ensure that professional assistance is consistently delivered.<\/p>\n<p>Client Management<br \/>\n\u00a0<\/p>\n<p>\tInteract, organise, and liaise with internal and external clients and stakeholders, etc.<br \/>\n\tGreet and assist visitors, direct calls, and respond to queries.<br \/>\n\tAnswer and respond to telephone calls with professionalism.<\/p>\n<p>Financial Administration<\/p>\n<p>\tProcess financial requests, claims, and recordkeeping of expenses.<br \/>\n\tAssist in the administration of financial expenses for the unit.<br \/>\n\tRequest quotations and get approval for departmental office supplies, equipment, and furniture.<br \/>\n\tHandle queries related to the unit&#8217;s finances and Place and follow up on orders.<br \/>\n\tHandle overtime requests.<br \/>\n\tCoordinate purchasing and travel cards, reconcile purchases, and ensure that Oracle allocations are completed \u00a0accurately and in a timely manner.<br \/>\n\tKeep up to date with the procurement requirements to ensure the effective management of the process.<br \/>\n\tEnsure that all invoices are approved and delivered to the creditors&#8217; department on time for payment.<\/p>\n<p>Professional Development<\/p>\n<p>\tUndertake staff training as required and receive guidance and instruction from the supervisor when necessary.<\/p>\n<p>Minimum requirements<\/p>\n<p>\tMatric or Grade 12 (NQF4)<br \/>\n\t3 to 5 years of job-related experience.<br \/>\n\tValid driver&#8217;s license.<br \/>\n\tExperience in all Microsoft packages (Word, Excel, PowerPoint, and Outlook).<br \/>\n\tAbility to handle sensitive and extensive confidential data.<br \/>\n\tKnowledge of purchasing and procurement systems, e.g., Oracle.<\/p>\n<p>Working conditions:<\/p>\n<p>\tMaybe required to work long hours.<br \/>\n\tWork is performed in a modern office setting within the University&#8217;s Protection Services Division.<br \/>\n\tRequires extended periods of sitting at a desk, working on a computer.<br \/>\n\tExposure to artificial lighting and digital screens for long hours.<br \/>\n\tFrequent use of a computer, keyboard, and mouse.<\/p>\n<p>Recommendations:<\/p>\n<p>\tMatric required;
