Purpose of the Job<\/p>\n
\tThis role is responsible for the coordination and supervision of operations to ensure smooth and efficient, delivery services. The Site Supervisor manages driver attendance and documentation, oversees vehicle route planning and dispatch, ensures fleet readiness and safety, and enforces adherence to operational protocols.<\/p>\n
Key Responsibilities\u00a0
\nOperational Management<\/p>\n
\tSupervise and monitor drivers\u2019 attendance registers and absenteeism, ensuring optimal staffing levels are maintained on site
\n\tCo-ordinate all driver-related requirements in consultation with the Labour Broker and Regional Manager
\n\tEnsure that drivers\u2019 hours are accurately captured on the weekly wages report
\n\tManage and oversee all fuel-related processes, including re-fuelling, fuel consumption tracking, EDC\/Nedfleet card usage, and reconciliation of fuel usage schedules
\n\tEnsure the overall condition of the fleet meets the standards outlined in the SEC Manual
\n\tCo-ordinate and control daily route planning, vehicle loading\/offloading, handover of customer documentation, and dispatching of drivers
\n\tEnsure compliance with all procedures relating to accident claims, product claims, and vehicle breakdowns
\n\tCommunicate regularly and effectively with the Account Manager regarding all operational and distribution activities
\n\tDebrief drivers\u2019 trip sheets and cross-reference them with vehicle tracking reports
\n\tSupervise the completion of pre- and post-trip vehicle inspections, logbooks, workshop bookings, and Certificate of Fitness (COF) checks
\n\tManage ad hoc vehicle requirements as needed
\n\tEnsure all driver documentation is valid and up to date, including Professional Driving Permits (PDPs), driver\u2019s licences, medical certificates, and relevant certifications (e.g. crane, Moffett, Hazchem)
\n\tMonitor and control the issuance and use of Personal Protective Equipment (PPE) and uniforms for all on-site staff
\n\tEnsure all vehicles have functional tracking systems and arrange for repairs where units are faulty
\n\tMaintain a high standard of housekeeping across the site, ensuring a clean and safe working environment
\n\tConduct monthly panic button tests for all vehicles
\n\tConduct and submit monthly tyre surveys
\n\tEnsure all deliveries are completed in accordance with front-end planning requirements
\n\tConfirm that all loads are secure and compliant with safety standards prior to dispatch
\n\tEnsure that all vehicle keys are securely locked away at the end of each workday<\/p>\n
Administrative Duties<\/p>\n
\tEnsure timely compilation and submission of all operational reports, including:
\n\tVehicle Utilisation Report
\n\tAbsenteeism Report
\n\tVehicles in Workshop Report
\n\tFleet Checklist
\n\tWeekly Site Report
\n\tFuel Consumption Report
\n\tVehicle Tracking Reports
\n\tDaily Statistics Report
\n\tFleet Control Report
\n\tManagement Report (including STOs, average loading times, and out-of-area deliveries)
\n\tSupervise the completion, handover, and sign-off of all customer-related documentation to ensure accuracy and compliance<\/p>\n
Customer Service & Relationship Management<\/p>\n
\tBuild and maintain strong relationships with customers by consistently meeting agreed service levels
\n\tMonitor all customer-identified KPIs and service level agreements to ensure targets are achieved
\n\tCompile and present required customer KPIs, reports, operational feedback, and highlight any operational constraints or challenges proactively<\/p>\n
Minimum Requirements<\/p>\n
\tGrade 12 (Matric)
\n\tProficiency in Microsoft Office Suite (MS Word, excel, outlook, etc.)<\/p>\n
Skills Required<\/p>\n
\tFleet and route management (Must possess sound local geographical knowledge)
\n\tStaff supervision
\n\tOperational reporting
\n\tProblem-solving and analytical thinking
\n\tProficiency in Microsoft Office Suite
