Beverage office (including responding to e-mails, mail and telephone)<br \/>\n\t\u00a0Allocate and reconcile supplier invoices correctly and resolve all queries<br \/>\n\t\u00a0Submit expense claims to the Finance department as per company policy and procedures.<br \/>\n\t\u00a0Monitor staff leave as per department norms and company policy.<br \/>\n\t\u00a0Capturing of staff rostering into the system and distribution and communication of rostering schedules<br \/>\n\t\u00a0Order stationery, paper and other consumables (as per company procedures), ensuring availability on demand.<br \/>\n\tDevelop a filing system (including records and reports) that enables others in the department to be able to access required documents<br \/>\n\tStore confidential documents for safe keeping<br \/>\n\tTroubleshoot and resolve first line queries and issues with guests and other stakeholders.<br \/>\n\tCoordinate the flow of paper and electronic documents to the appropriate parties<br \/>\n\tComplete reports \/ minutes\/ presentations \/ departmental documents and distribute to relevant parties<br \/>\n\tFollow through on outstanding issues and action lists from minutes<br \/>\n\tLiaise with travel service providers to co-ordinate travel, car and accommodation arrangements<\/p>\n<p>Meeting Coordination<\/p>\n<p>\tSend out meeting invitations in advance (within reasonable time period to accommodate delegates).<br \/>\n\tComplete and distribute agenda and minutes timeously<br \/>\n\tBook meeting venues according to meeting requirements \u2013 number of people, equipment, times, access to floor, accessibility, refreshments, and time frames.<br \/>\n\tCo-ordinate required equipment and ensure all in working order e.g. Air Conditioning, Laptop, Proxima etc.<br \/>\n\tArrange catering in line with RSVP\u2019s and dietary requirements of the attendees.\u00a0<\/p>\n<p>F&amp;B Co-ordination<\/p>\n<p>\tConsolidate, resolve (where possible) and monitor external customer feedback or complaints or escalate to relevant person\/department.<br \/>\n\tAssist in co-ordinating restaurant reservations<br \/>\n\tCommunicate and distribute Time &amp;
