We are looking for a Front of House Administrator who will be the welcoming face of Syntech. The purpose of this position is to manage the telephone, reception area, assist customers as well as provide administrative support to the Accounts department.<\/p>\n
Minimum Requirements\u00a0\u00a0 \u00a0<\/p>\n
\tAt least 3 years\u2019 experience as a receptionist or similar role which included administrative functions
\n\tMatric with a good understanding of accounting principles and functions (N4\/N5 Accounting an advantage to provide scope for future expansion of the role)
\n\tThe ability to multi-task and work well under pressure
\n\tGood written and verbal communication skills
\n\tThe ability to handle confidential information
\n\tThe ability to maintain a tidy and organised workspace
\n\tPunctual with strong time management skills
\n\tAbility to work independently, but also as part of a team
\n\tFriendly with a pleasant demeanour<\/p>\n
Duties and Responsibilities\u00a0\u00a0 \u00a0
\nPresentation and Call management<\/p>\n
\tKeep workstation and surrounding areas neat and assist colleagues during break times.
\n\tPresent yourself in a professional and friendly manner towards staff and customers
\n\tAnswer calls in a professional manner
\n\tTake detailed and accurate messages where applicable
\n\tTransfer calls to the appropriate person \/ department
\n\tRespond to general customer queries and enquiries where possible<\/p>\n
Accounts functions<\/p>\n
\tDraw missing POD reports from Autopilot (Inhouse system)
\n\tScan signed invoices into Autopilot. Sort and file signed invoices
\n\tTrack missing PODs for CPT and JHB branch – liaising with couriers
\n\tReceive \/ sign for parcels
\n\tBooking of courier collections, track and follow up on client parcels
\n\tRequesting approval and enter supplier courier expenses on FINCON (Accounting Package)
\n\tCollect drivers\u2019 petrol slips and complete monthly recon
\n\tOther ad hoc tasks delegated from time to time<\/p>\n

\tCapture staff time and attendance
\n\tCapture and file staff leave applications<\/p>\n
