Comm HR Management \/ Social Sciences \/ Psychology \/ Industrial Psychology) or equivalent.<br \/>\n\tProfessional certification in HR or Labour Law is advantageous.<\/p>\n<p>General Knowledge &amp; Experience<\/p>\n<p>\t5 to 7 years proven HR Generalist \/ HR Administration experience of a scope and level suited to this position.<br \/>\n\tProven SuccessFactors experience is essential, with specific reference to the Employee Central, Performance and Objectives, Recruiting, Reporting, Compensation and Time Management modules.<br \/>\n\tProven SAP OM and PA experience is essential.<br \/>\n\tSound knowledge of and application of HR policies, processes, systems and procedures.<br \/>\n\tSound knowledge and implementation of relevant HR related legislation<br \/>\n\tComputer Literate (Outlook, Internet, MS Office &#8211; Word, Excel, PowerPoint, SAP)<br \/>\n\tExcellent organisational and administrative skills<br \/>\n\tExcellent communication skills (both written &amp; verbal)<br \/>\n\tGood facilitation and presentation skills<br \/>\n\tProblem-solving skills<br \/>\n\tInterpersonal skills<br \/>\n\tAttention to details<br \/>\n\tReliable<br \/>\n\tPro-active<br \/>\n\tDisplays high levels of integrity and honesty<br \/>\n\tPromoting Collaboration and Teamwork<\/p>\n<p>Role Accountabilities<\/p>\n<p>The role holder will be accountable for:<\/p>\n<p>Administration<\/p>\n<p>\tDaily administration functions for the Directors, Human Resources Business Partnering, including but not limited to:<br \/>\n\tcommunication and liaison with relevant authorities for the facilitation of Visa applications, providing employees with supporting letters for confirmation of employment or Visa applications, distributing regret notifications to unsuccessful job applicants via OneHR, generating and distributing Long Service Award and Retirement letters and processing of gift and function selections by employees.<br \/>\n\tPlanning and coordinating administrative procedures and systems and devise ways to streamline processes, including the drafting and implementation of relevant HR policies and procedures.<br \/>\n\tManaging all administration schedules and deadlines, whether routinely or ad-hoc to ensure the department supports the broader HR processes. These include but are not limited to the Performance Management process timelines, the Talent Review process, completion of the annual EE Report, WSP &amp; ATR reporting, quarterly Sustainability Reporting, monthly Safety Statistics reporting, etc.<br \/>\n\tProcessing and approval of invoices on SAP.<br \/>\n\tData management and capturing through the employee lifecycle, from engagement to separation.<br \/>\n\tHR filing: maintenance of electronic filing records.<br \/>\n\tManaging queries and endeavour to proactively resolve HR issues where appropriate.<br \/>\n\tLoading and monitoring approvals onto DocuSign.<br \/>\n\tBooking meeting rooms and arranging refreshments as required.<\/p>\n<p>Budget Process<\/p>\n<p>\tSupporting the Directors, Human Resources Business Partnering through the labour budget process, in collaboration with the line managers.<\/p>\n<p>Recruitment and Separation<\/p>\n<p>\tPreparing approvals to advertise, obtaining the required approvals, and loading the advertisements \/ job postings on the relevant platform(s).<br \/>\n\tManaging the job requisition database of applicants.<br \/>\n\tLong-listing potential candidates for the Hiring Manager to review.<br \/>\n\tArranging interviews with shortlisted candidates through the scheduling of face-to-face or virtual interviews.<br \/>\n\tLiaise and communicate with relevant Hiring Managers and Directors, Human Resources Business Partnering to compile the required documentation for the interview panels, including the interview guide, consolidating the feedback from the panel post the interviews, and ensuring that all documents are appropriately filed.<br \/>\n\tCompleting the required qualification, criminal and financial verifications with the service provider, and obtaining reference checks.<br \/>\n\tPreparing approvals to appoint and obtaining the required approvals for offers as instructed.<br \/>\n\tPreparing the offer letters, obtaining the relevant approvals and distributing offer letters to successful candidates via OneHR.<br \/>\n\tFacilitating the onboarding and induction of new engagements, also ensuring that relevant compliance records are maintained.<br \/>\n\tArranging the exit processes, including the exit interview, for all separations.<br \/>\n\tGenerating and distributing Information notes to identified stakeholders.<br \/>\n\tLiaising with external recruitment providers and with the commercial department for the regular review of the recruitment agencies list, as well as onboarding of new recruitment service providers<\/p>\n<p>HR Information Systems Maintenance<\/p>\n<p>\tCreating and maintaining the employee master data in the OneHR system.<br \/>\n\tUpdating and maintaining organisational structures on the OneHR system to ensure accurate and up-to-date information, i.e. relationships, authorization levels, stratum levels, cost centre updates, etc.<br \/>\n\tEnsuring that all deployment movements are correctly and timeously captured and maintained on the OneHR system.<br \/>\n\tLogging SAP access requests for new SAP users, activating access to the OneHR staff profile.<\/p>\n<p>Payroll Administration<\/p>\n<p>\tProcessing HR Information for new engagements, promotions, separations, study assistance etc. and submitting all relevant information to payroll timeously as determined by the Payroll Department.<\/p>\n<p>Events Coordination<\/p>\n<p>\tAssisting in facilitating events \/ functions such as Long Service Awards, retirements, Employee Wellness etc.<\/p>\n<p>Reporting<\/p>\n<p>\tPreparing, interrogating and distributing monthly, annual, and ad-hoc reports, including but not limited to fixed term contractors, retirements, long service awards, study assistance, safety reporting, Sustainability and ESG reporting, etc.<br \/>\n\tAnalysing HR reports and highlighting important trends.<\/p>\n<p>Study Assistance Administration<\/p>\n<p>\tAssisting with the coordination of the completion and submission of all Study Assistance documentation.<br \/>\n\tProcessing all refunds \/ payments accordingly.<br \/>\n\tManaging repayment of study obligations of defaulted employees, including confirmation of work-back periods.<br \/>\n\tTo maintain accurate records of each participant on the filing system.<\/p>\n<p>Performance Management Admin<\/p>\n<p>\tCapturing \/ tracking all performance-related information received.<\/p>\n<p>Client Service<\/p>\n<p>\tMaintaining high levels of customer service with the client base and above-average turnaround times.<br \/>\n\tEnsuring compliance with Internal and External Auditor requirements by providing the requested documentation timeously.<\/p>\n<p>Cross-functional relationships<\/p>\n<p>\tFostering a team environment and working closely with the Directors, HR Business Partnering, the Central Functions, as well as the
