Act as secondary contact to the clients.<\/p>\n<p>KEY PERFORMANCE AREAS (KPA\u2019s)<\/p>\n<p>CUSTOMER CENTRICITY<\/p>\n<p>Customer Journey<\/p>\n<p>\tTaking on the role as the secondary point of contact for the Relationship Managers, providing all administrative support ensuring excellent service levels and quality to Bidvest Bank 2021 clients<br \/>\n\tResponding speedily and correctly to stakeholder and client queries ensuring that solutions are achieved timeously.<br \/>\n\tProviding telephonic support to clients and Relationship Managers to proactively address their needs<br \/>\n\tTo train and assist the client telephonically on the necessary systems \/ processes to deal with the Bank in the most efficient way<br \/>\n\tTo follow up with all parties to ensure that the necessary documentation is in place and processes are followed to ensure reviews are completed and transactions are processed timeously<br \/>\n\tTo proactively review the client files and ensure the Relationship Managers are advised of the updated client documents that are required.<br \/>\n\tPro-active after Sales; activation of product services, support and customer training and digital migration<br \/>\n\tPro-active identification of X Sell Opportunities<\/p>\n<p>Client Onboarding<\/p>\n<p>\tAct as a liaison between Relationship Managers and CFX admin<br \/>\n\tCheck and collate all account opening documentation<br \/>\n\tSend all signed opening documentation to CFX admin<br \/>\n\tFollow up with CFX admin to ensure account is opened timeously<br \/>\n\tSend welcome letter to banker once account has been opened<\/p>\n<p>OPERATIONAL EXCELLENCE<\/p>\n<p>Lending Fulfilment<\/p>\n<p>\tAct as a liaison between Relationship Managers, credit, legal &amp; FAF contract admin<br \/>\n\tOnce sanction has been received from credit &#8211; request facility letter and legal documents from legal department<br \/>\n\tComplete quote request and send to procurement<br \/>\n\tSend quote to the Relationship Managers once received from procurement<br \/>\n\tRequest admin to check if supplier\/dealer is loaded &#8211; if supplier\/dealer is not loaded, request documentation from the supplier\/dealer to onboard the supplier<br \/>\n\tOnce supplier\/dealer has been onboarded, send confirmation to FAF contract admin<br \/>\n\tRequest FICA documentation from client<br \/>\n\tSubmit all FICA documentation to FAF Contract admin to obtain FICA sign-off<br \/>\n\tSubmit all signed legal documentation to FAF Contract admin for Legal signoff<br \/>\n\tOnce FICA and Legal signoff has been obtained &#8211; advise credit to load facilities<br \/>\n\tRequest admin to convert quotes and request purchase order\/invoicing details<br \/>\n\tSend Purchase order\/invoicing details to supplier once obtained<br \/>\n\tObtain invoices from supplier<br \/>\n\tSend invoices to admin with confirmation of clients banking details so they can draw the schedules<br \/>\n\tOnce we have obtained the schedules from admin, send to Relationship Managers in order obtain client signatures<br \/>\n\tObtain insurance confirmation from client<br \/>\n\tObtain tracking certificates from client<br \/>\n\tObtain acknowledgement of tracking authorisation letter from supplier or from client<br \/>\n\tObtain proof of payment of upfront fee\/deposit<br \/>\n\tSend all signed schedules, insurance confirmation, tracking certificates and all other supporting documentation to FAF contract admin for release notes<br \/>\n\tSend release note to supplier\/dealer<br \/>\n\tOnce release note has been signed, send release note together with supporting documentation to FAF Contract admin for pay-out<br \/>\n\tRequest pay-out confirmation from FAF Contract Admin Bidvest Bank 2021<br \/>\n\tSend pay-out confirmation to supplier\/dealer<\/p>\n<p>Query Resolution<\/p>\n<p>\tAct as a primary point of contact for query resolution<br \/>\n\tLiaise between various internal departments in order to resolve queries (FX Queries, Payments, CFX admin, Fleet admin, Credit and Legal)<br \/>\n\tCommunicate query outcome directly to clients and banker<br \/>\n\tPerform outbound calls to clients in order to better understand the nature of their query<br \/>\n\tAccept inbound calls from clients regarding administration issues<br \/>\n\tAct as a stand in for the banker where the banker is not available<\/p>\n<p>Reviews<\/p>\n<p>\tMonitor and action outstanding FICA reviews in conjunction with the banker<br \/>\n\tcheck file for completeness (documents held on Onbase or DMS) and communicate with customer to collate outstanding\/updated information.<br \/>\n\tFollow up with the client to ensure documentation is received timeously<br \/>\n\tEscalate matters to banker where information is not forthcoming from clients<br \/>\n\tRequest banker to complete Risk Matrix and EDD<br \/>\n\tCompile all documentation including coversheet and send file to CFX admin for fulfilment<\/p>\n<p>GPO\/Payment Report<\/p>\n<p>\tMonitor and manage the daily GPO\/Payment report<br \/>\n\tInform client of any outstanding documents<br \/>\n\tAct as a liaison between back-office and client regarding any outstanding information<br \/>\n\tEnsure that no deals are extended or surrendered without client\/relationship manager&#8217;s consent<br \/>\n\tEscalate ALL matters to the relationship managers when there is no resolution between Sales Support and Back Office<\/p>\n<p>Finance<\/p>\n<p>\tSupporting the Monthly Sales Revenue Target<br \/>\n\tTo provide the necessary administrative support to the Business Bankers and Relationship Managers to ensure that the clients\u2019 needs are met, thus facilitating the achievement of revenue targets<br \/>\n\tAvoid penalties and fee write-offs<br \/>\n\tProvide support to ensure reviews are completed timeously to avoid revenue loss<\/p>\n<p>Training<\/p>\n<p>\tKeeping abreast of Compliance (FICA) requirements<br \/>\n\tKnowledge of Banks processes and systems<br \/>\n\tUp to date knowledge of Business Banking products<\/p>\n<p>REQUIREMENTS<\/p>\n<p>\tQualifications: Matric Certificate in Banking, or Equivalent NQF 5<br \/>\n\tExperience: 2 years in an administrative or client service role, or 3 years in a sales and client service role in a financial institution<\/p>\n<p>Knowledge, Skills and
