Ensure investment growth and maximum income of the Property through effective property management and asset control.<br \/>\n\tDevelops related budgets, oversees leasing contracts, procures services, handles third party service contracts, and directs maintenance procedures.\u00a0 Ensures that all buildings, grounds, and equipment are well maintained and in optimal working condition.<br \/>\n\tDevelops and implements departmental and procurements policies and procedures and ensures that all operations are in accordance with established health and safety regulations.<br \/>\n\tEnsures that services purchased are of acceptable quality at the least possible cost. Keeps senior management well informed of area activities and significant problems.\u00a0<\/p>\n<p>ESSENTIAL FUNCTIONS AND BASIC DUTIES<\/p>\n<p>Assumes responsibility for the effective operations management of the property and its facilities.<\/p>\n<p>Property Management<\/p>\n<p>\tKeep abreast of market activities in respect of tenant movement, new developments, major vacancies and other landlord\u2019s strategies<br \/>\n\tAttend meetings \/ functions related to successful operation of Property i.e. SAPOA, CJP etc.<\/p>\n<p>Asset Management<\/p>\n<p>\tControl\/schedule\/implement regular preventative maintenance program in line with budget constraints<br \/>\n\tMotivation of refurbishments, major repairs as appropriate<br \/>\n\tAttend site meetings with contractors in respect of maintenance\/expansion of projects<br \/>\n\tMonitor progress<br \/>\n\tInspection \/ enforcement of tenant responsibilities during and on termination of lease terms<br \/>\n\tLiaison with appropriate Government, Provincial and\/or local authorities<br \/>\n\tResponsible for Compliance of OSH Act<\/p>\n<p>Client Reporting<\/p>\n<p>\tProvide accurate information to client according to agreed format timeously<br \/>\n\tAnalysis of monthly income \/expenses<br \/>\n\tMonitoring of turnover rentals<br \/>\n\tAnalysis of operating costs on a quarterly basis in terms of the approved forecasts<br \/>\n\tMonitoring of all municipal recoveries (and general recoveries) on a monthly basis<\/p>\n<p>Planning And Budgeting<\/p>\n<p>\tPreparation and completion of budgets by January each year<br \/>\n\tComplete of forecasts timeously<br \/>\n\tReview rental quarterly and ensure best possible rate achieved and maintained<br \/>\n\tAssist in formulation of business plans for the unit<br \/>\n\t5 Year budget \u2013 preparation and control<br \/>\n\tQuarterly review and monitoring results<\/p>\n<p>Quarterly Expenditure \/ Analysis<\/p>\n<p>\tSet and motivate capex \/TI philosophy per building in consultation with client<br \/>\n\tApprove TI standard specification as recommended by the Project Manager<br \/>\n\tApprove capex within authority limits<br \/>\n\tEnsure we conform to capex philosophy and procedures<br \/>\n\tEstimate new operating costs<br \/>\n\tEnsure recovery of operational costs in accordance with Lease terms<\/p>\n<p>Building Management<\/p>\n<p>\tDevise a five-year maintenance plan including allowances for provisions or depreciation where applicable (annually) for submission to the Assistant General Manager \/ Director<br \/>\n\tInvestigate\/initiate proposals for refurbishments<br \/>\n\tMaintain a hands-on control of projects in hand<br \/>\n\tReview the building status\/grade annually and maintain the standards within those grade<br \/>\n\tEnsures compliance with legal regulations. Completes regular OSH inspections and updates monthly reports as appropriate.\u00a0 Ensures that OSHA requirements are effectively implemented<\/p>\n<p>\u00a0Debtors Management<\/p>\n<p>\tMonthly interaction meetings with Debtors, Debtors Manager and Leasing to ensure appropriate action taken and approve legal action<\/p>\n<p>Creditors Control\u00a0<\/p>\n<p>Responsible for Management:<\/p>\n<p>\tArrears<br \/>\n\tLegal action<br \/>\n\tWrite-offs<\/p>\n<p>\u00a0Parking Management<\/p>\n<p>\tMonthly \/ ad hoc interaction meetings all parkades<br \/>\n\tIn conjunction with the responsible person for parking, maintain accurate control of \u201cin house\u201d operated parkades<\/p>\n<p>Tenant Manager\u00a0<\/p>\n<p>\tDeal with correspondence \/ interaction with tenants as required.<br \/>\n\tEnsure that leases are timeously renewed and all vacant space is let and in a presentable state.<\/p>\n<p>\u00a0New Tenants<\/p>\n<p>\tDetermination and recommendation of letting mandates (i.e. rental levels, installation cost etc.)<br \/>\n\tLease negotiation and maintenance of tenant relationships.<br \/>\n\tControl of new leases and records of same<\/p>\n<p>Control \/ oversee new installations (through technical manager where appropriate) including:<\/p>\n<p>\tPremises design<br \/>\n\tNegation\/liaison\/control with\/of professionals and contractors<br \/>\n\tSign off acceptance of complete premise<\/p>\n<p>\u00a0Existing Tenants<\/p>\n<p>\tRenewal of Lease Agreement both direct and through Building Management where applicable<br \/>\n\tTenant liaison and public relations<br \/>\n\tControl\/arrangement of Centre promotions through merchants association\/s or promotion committee\/s<br \/>\n\tRegular assessment of tenant\u2019s turnover, stock turn and merchandising to establish both growth needs and\/or trading difficulties<\/p>\n<p>\u00a0Expense Control<\/p>\n<p>\tCheck and authorise payment of accounts<br \/>\n\tAuthorise cleaning, consumables, electrical and general maintenance orders<br \/>\n\tControl wage and salary allocation<br \/>\n\tControl municipal payments and recoveries there against<br \/>\n\tEnsuring cost effectiveness and performance of contractors<\/p>\n<p>Assumes responsibility for the effective maintenance and reporting of financial records.<\/p>\n<p>\tOversees preparation of monthly, annual, and other management reports.<br \/>\n\tAssesses and reports on monthly performance against budgets.<br \/>\n\tPrepares and motivates consolidated monthly reports for submission to client<\/p>\n<p>Assumes responsibility for ensuring professional business relations with vendors, contractors, and trade professionals.<\/p>\n<p>\tWorks to develop and maintain productive business relations with vendors, suppliers, contractors, etc.<br \/>\n\tActs as a liaison between the Company and external contacts.<br \/>\n\tEnsures effective coordination of external services with Company operations.<br \/>\n\tObtains and conveys information as appropriate.<br \/>\n\tPromotes goodwill and a positive image of the Company.<\/p>\n<p>Effectively supervises Property personnel, ensuring optimal performance.<\/p>\n<p>\tProvides leadership to assigned personnel through effective objective setting, delegation, and communication. Conducts regular meetings to ensure that personnel are well informed of changes in policies and procedures.\u00a0 Discusses areas needing improvement.\u00a0\u00a0\u00a0\u00a0<br \/>\n\tAssigns and coordinates personnel. Directs daily operations.<br \/>\n\tIdentifies, develops, and implements training programs as appropriate.<br \/>\n\tConducts performance appraisals. Provides measurable feedback to assigned personnel and suggestions for improved performance.\u00a0 Formulates and implements employee corrective actions as needed.<br \/>\n\tEnsures that staffing levels are appropriate. Interviews, hires, and assigns personnel as necessary.<\/p>\n<p>Assumes responsibility for related duties as required or assigned.<\/p>\n<p>\tEnsures that work area is clean, secure, and well maintained.<br \/>\n\tCompletes special projects as assigned.<br \/>\n\tReports on Operational expenses, foot traffic, security incidents etc.<\/p>\n<p>PERFORMANCE MEASUREMENTS<\/p>\n<p>\tGood communication and coordination exists with departments. Assistance is provided as needed.<br \/>\n\tSenior Management is appropriately informed of area activities and of any significant problems.<br \/>\n\tOperations personnel are well trained, effective, and efficient.
