time sheets.<br \/>\n\tExperience as an HR Shift Administrator desirable.<br \/>\n\tPrevious experience in a FMCG\/ manufacturing environment desirable.<br \/>\n\tProven computer\/ systems experience i.e., ESS\/ Sage People, SharePoint, MS Package, PRP Biometric System.<br \/>\n\tBeing conversant with the vernacular spoken in the Eastern Free State will be a definite advantage.<br \/>\n\tA willingness to work overtime or weekends where necessary.<\/p>\n<p>Key Accountabilities:<\/p>\n<p>\tProvide administrative support to all Departments within GFC.<br \/>\n\tEnsure timeous &amp; accurate actioning of employee time &amp; attendance.<br \/>\n\tEnsure strict compliance with all relevant standards of documentation.<br \/>\n\tEnsure departmental directives adhered to in the execution of all tasks.<br \/>\n\tWork with electronic documents, shift and attendance registers.<br \/>\n\tData entry\/ Capturing of high volumes of data.<br \/>\n\tHandling administrative and HR-related queries.<br \/>\n\tManage own workload identifying improvements and issues.<br \/>\n\tProvide quality resource and support to the manufacturing teams.<br \/>\n\tProvide information and analysis of data as directed\/ required.<br \/>\n\tCommunication with employees and management.<\/p>\n<p>Duties and Responsibilities<\/p>\n<p>\tDaily Headcount: Compare manual registers with PRP and what the supervisors have submitted.<br \/>\n\tLeave: Process on ESS and send for approval.<br \/>\n\tClaims: Process on ESS and send for approval.<br \/>\n\tScanning of all GFC Payrolls and save to SharePoint.<br \/>\n\tShort Hours &amp; Unpaid Leave: Capture the unpaid list, check the time the employee left the site and capture on the unpaid database and send to Payroll for deductions.<br \/>\n\t3-Day Discrepancies: Monitor and follow up on employees who have been absent for 3 days and more.<br \/>\n\tStaff Accounts &amp; Personal Loans: Assisting employees with applications.<br \/>\n\tPRP: Roster employees on PRP according to their shift and fix critical errors that appear on their timesheets.<br \/>\n\tTimesheets: Print timesheets and send them out every 2nd week, for employees to check if there are any faults and return them for correction.<br \/>\n\tApproves and authorizes timesheets if the approver or authoriser is not available.<br \/>\n\tEnable overtime for employees after receiving overtime authorization from supervisors.<br \/>\n\tPay Queries: Process all pay queries, print out timesheet and load on SharePoint.<br \/>\n\tCompany Rules responsible for: 015,019 and 023.<br \/>\n\tDepartments Responsible for: Farm Services, Quality and Services.<br \/>\n\tLoad new employees on the SAGE 300 PEOPLE and assist with any movements.<br \/>\n\tSort and distribute payslips and IRP5s and assist employees with exit documents.<br \/>\n\tEnsure that any changes relating to payroll, such as bank details, job titles, and grade changes, are processed in time on People.<br \/>\n\tAssist with the completion of Sanlam Fund documents and loading on SharePoint.<br \/>\n\tAssist with and participate in all HR Projects such as Skills Development\/ Learnerships\/ Manload Reviews etc.<br \/>\n\tWill have to relieve other HR team members where required.<br \/>\n\tAny other duties as may be required by the department from time to time.<\/p>\n<p>Skills Required<\/p>\n<p>\tMust be a team player.<br \/>\n\tAbility to prioritize and complete tasks within agreed timelines.<br \/>\n\tAn open, direct and honest attitude at all times is a must.<br \/>\n\tAble to maintain integrity &amp; confidentiality within an HR environment essential.<br \/>\n\tAbility to work in a pressurised and time-critical environment.<br \/>\n\tExcellent communication skills.<br \/>\n\tExcellent organisational skills and attention to detail.<br \/>\n\tAble to work as part of a team &amp;
