The incumbent will also be expected to:<\/p>\n<p>\tServe as the first line report for the TSs and report to the STS Manager.<br \/>\n\tEnsure operational and quality management appropriate to services, including oversight of procedures, clinical, inventory and asset management required for the completion of patient procedures.<br \/>\n\tComplete routine operational reports for the STS Manager.<br \/>\n\tParticipate in routine STS department &amp; management meetings.<br \/>\n\tSupport the completion of quality reports for STS department.<br \/>\n\tSupport the completion of TS ISCs &amp; IDPs.<br \/>\n\tSupport innovation in work process development (including but not limited to digitalization of STS).<br \/>\n\tLiaise with key internal and external stakeholders in the completion of patient procedures.<br \/>\n\tLog, investigate do root cause and corrective action of Notifications.<br \/>\n\tResponsible for the implementation, management and maintenance of a quality systems in STS.<br \/>\n\tProvide technical expertise to the Lead Consultant, STS Medical Manager and STS Manager in all aspects of clinical apheresis.<\/p>\n<p>Job description<\/p>\n<p>KEY PERFORMANCE AREAS (KPAS)<\/p>\n<p>KPA 1: Clinical and procedural management of Patients and Donors<br \/>\nKPI<br \/>\nIn Collaboration with the Lead Consultant, STS Medical Manager and STS Manager the Therapeutic Team\u00a0Supervisor will be responsible for the day-to-day operational management of the Therapeutic Apheresis\u00a0team:<\/p>\n<p>\tAllocate staff, equipment and consumables to ensure maximum operational functionality<br \/>\n\tAssist in pre-procedure optimisation of patients prior to therapeutic procedure.<br \/>\n\tCo-ordinate daily patient briefing.<br \/>\n\tCommunicate with internal and external stakeholders in preparation and completion of procedures.<br \/>\n\tIntra-procedural review with TSs and liaise with relevant service providers for support.<br \/>\n\tPerform clinical apheresis procedures when required.<br \/>\n\tCoordinate out of zone procedures and logistics around it.<br \/>\n\tEnsuring that correct records for all TPE and HPC-A procedures are available and correctly\u00a0completed.<\/p>\n<p>KPA 2: Accomplish financial objectives<br \/>\nKPI<\/p>\n<p>\tProvide input into the development of the department budget.<br \/>\n\tManagement of assets and equipment in STS according to SANBS finance policies and SOP.<br \/>\n\tCost effective management of stock and equipment.<br \/>\n\tCreating procurement shopping carts for approval as required for non-stock items.<br \/>\n\tCreation of critical material stock items as required by the STS team.<br \/>\n\tParticipate in STS Management Meetings.<br \/>\n\tProvide reporting as required by STS Manager.<\/p>\n<p>KPA 3: Professional development of TSs and people management<br \/>\nKPI<\/p>\n<p>\tDevelop and conduct live, distance learning and electronic learning platforms in co-operation with\u00a0learning and development.<br \/>\n\tFacilitate annual competence review.<br \/>\n\tFacilitate professional communication courses for medical purposes for all direct reports.<br \/>\n\tConduct performance management and monitor performance on on-going basis through\u00a0mentoring, coaching, and reviews and take appropriate steps to correct problems.<br \/>\n\tTrack and encourage individual development by identifying learning and development needs &amp;\u00a0facilitate attendance of relevant programs.<br \/>\n\tDeal with grievances, conflict and disciplinary issues and take appropriate actions in accordance\u00a0with SANBS Policy.<br \/>\n\tEnsure regular two-way communication with staff matters such as strategy, values, team building,\u00a0SP\u2019s, policy changes.<br \/>\n\tManage and track staff time-keeping, absenteeism trends, overtime worked and leave to ensure\u00a0adherence to HR policy.<br \/>\n\tEnsure the completion of on-going vocational technical training as per Individual Development\u00a0plans.<br \/>\n\tConduct scheduled meetings with direct reports.<\/p>\n<p>KPA 4: Quality Management<br \/>\nKPI<br \/>\nIn collaboration with the STS Manager and STS Quality Manager:<\/p>\n<p>\tEnsure that the TSs are using the current and correct documentation.<br \/>\n\tEnsure that all current and approved documentation are up to date and completed correctly.<br \/>\n\tEnsure that employees\u2019 personal files and training records are up to date.<br \/>\n\tEnsure that all documentation is stored and archived according to SANBS procedures.<br \/>\n\tShall be responsible for all Standard Operating Procedures (SOP), technical procedures,\u00a0performance of the collection procedure, supervision of TSs, administrative operations and the\u00a0Quality Management Programs, including compliance with the JACIE Standards and Applicable\u00a0Law.<br \/>\n\tShall be responsible for ensuring all validations &amp; verification protocols and reports are completed\u00a0timeously and accurately.<br \/>\n\tEnsure compliance with the JACIE Quality Management Systems and the SANBS Quality\u00a0Management System.<br \/>\n\tShall have authority over and responsibility for ensuring that the Quality Management Program is\u00a0effectively established and maintained.<br \/>\n\tShall maintain a detailed list of all controlled documents, including title and identifier.<br \/>\n\tShall be responsible for development and completion of outstanding SOPs in the provision of Cellular Therapy &amp; Therapeutic Apheresis Services in relation to international benchmark in collaboration with\u00a0the STS Quality Manager.<br \/>\n\tShall strive to remain well informed of current developments to promote knowledge sharing as well<br \/>\n\tas to ensure acquisition of required CEU points for CPD according to SANC requirements and IPA\u00a0specifications.<br \/>\n\tShall ensure that the quality assurance documentation and systems are regularly updated to ensure\u00a0compliance to JACIE Standards.<br \/>\n\tSchedule and conduct GAP analyses with the STS team for remediation of challenges identified.<br \/>\n\tDevelop Quality Training Programs with regard to JACIE Accreditation.<br \/>\n\tAssisting with STS quality report.<br \/>\n\tPlan, manage and execute scheduled and additional audits as and when required.<br \/>\n\tProvide feedback and agreement on audit findings, non-compliance, potential risks identified to\u00a0auditees.<br \/>\n\tConduct preventative and proactive risk assessments, including development of risk assessment\u00a0action plans. Work with other assurance providers and transfer knowledge to other providers if\u00a0needed.<br \/>\n\tEffectively participate in continuous improvement practices through the on-going review of process\u00a0analysis in all work areas and contribution to corrective and preventive action monitoring.<br \/>\n\tEnsure training is carried out effectively within the STS Department.<br \/>\n\tWrite CPD articles and participate in Learning Cafes for educational and growth purposes.<br \/>\n\tIdentify and assess trends in non-compliances, corrective actions, implemented and effectiveness of\u00a0corrective actions.<br \/>\n\tDevelop training modules in adherence to quality stem for all STS members in collaboration with the\u00a0STS Quality Manager.<\/p>\n<p>KPA 5: Customer and Stakeholder relationship building<br \/>\nKPI<\/p>\n<p>\tAttend regular scheduled meetings in collaboration with STS management with\u00a0internal and external stakeholder as required.<br \/>\n\tSupport the development and implementation of work flow improvements (including but not\u00a0limited to the digitalization project).<br \/>\n\tSupport observation and certification of new and existing employees on all apheresis procedures.<br \/>\n\tContribute and actively participate in internal and external audits.<br \/>\n\tContribute to safety, health, environmental assessment applicable to the therapeutic apheresis\u00a0processes.<br \/>\n\tRecommend modifications to the critical supplies list and technology inventory based on\u00a0notification trends internally &amp;
