Purpose:<\/p>\n
\tThe Admin Orders & Outbound Controller ensures the efficient management of customer orders, outbound logistics, inventory control, and documentation, supporting seamless supply chain operations.<\/p>\n
Key Responsibilities:
\nOrder Management & Processing:<\/p>\n
\tReceive, review, and validate customer purchase orders (POs) via email, ERP, or online systems.
\n\tVerify order details: customer information, product codes, quantities, pricing, and terms.
\n\tConfirm inventory availability before accepting orders.
\n\tGenerate order confirmations within 48 hours.
\n\tPrepare all necessary documentation for invoicing and PODs within 72 hours.
\n\tTrack and report order progress, ensuring timely updates to customers and internal stakeholders.<\/p>\n
Outbound Logistics Coordination<\/p>\n
\tSchedule and coordinate shipments with approved logistics providers to meet delivery deadlines.
\n\tPrepare shipping documents: packing lists, delivery advice, consignment notes, and relevant legal documentation.
\n\tMonitor outbound deliveries, proactively addressing delays, route changes, or issues with carriers.
\n\tMaintain records of all shipments for audit, compliance, and performance analysis.<\/p>\n
Inventory Management<\/p>\n
\tMaintain accurate stock records and update order allocation status in ERP or inventory systems.
\n\tCollaborate with Admin: Orders & Inbound Clerk to conduct periodic and cycle stock counts.
\n\tMaintain key customer inventory files for review during service-level performance meetings.
\n\tReport discrepancies, shortages, or excesses immediately to the Supply Chain Manager.<\/p>\n
Customer & Stakeholder Communication<\/p>\n
\tProvide proactive updates on order status, delays, and exceptions.
\n\tLiaise with warehouse, logistics, and transport teams to resolve operational challenges.
\n\tRespond to customer complaints professionally and escalate unresolved issues as required.
\n\tMaintain a customer communication log for performance tracking and quality improvement initiatives.<\/p>\n
Compliance, Documentation & Reporting<\/p>\n
\tEnsure all documents are filed, stored, and archived according to company policies.
\n\tMaintain outbound transaction records for internal and external audits.
\n\tFollow SOPs, company policies, and relevant regulatory requirements for shipping, handling, and documentation.
\n\tConduct internal compliance checks and identify areas for process improvement.
\n\tGenerate periodic reports for the Supply Chain Manager including:
\n\tOrder processing performance metrics
\n\tInventory accuracy reports
\n\tOn-time delivery statistics
\n\tCustomer satisfaction and complaint resolution
\n\tException and discrepancy logs<\/p>\n
Requirements:<\/p>\n
\tMatric (Grade 12) required, a diploma or degree in Supply Chain, Logistics, or related field preferred
\n\t2\u20133 years\u2019 experience in order management, logistics coordination, or supply chain administration
\n\tStrong customer service orientation with proven ability to handle internal and external stakeholders professionally
\n\tProficiency in ERP systems (e.g., SAP, Oracle, or MS Dynamics) and Microsoft Office (Excel, Outlook, Word)
\n\tHigh attention to detail and strong problem-solving skills
\n\tAbility to work under pressure, manage multiple priorities, and meet deadlines
\n\tExcellent communication skills (written and verbal)
\n\tFlexibility and a proactive mindset to take ownership of issues and see them through to resolution<\/p>\n
