PURPOSE<\/p>\n
\tAn exciting opportunity exists to manage the entire tendering process, from initiating requests for proposals (RFP) to evaluating responses and recommend for request for quotation (RFQ) and clients\u2019 proposals.
\n\tEnsuring compliance with company policies while also handling the administrative tasks involved in the process (i.e. document management and data tracking).\u00a0
\n\tHandle low value purchasing and provide assistance and support to the Procurement team and senior management of Fraser Alexander.<\/p>\n
Requirements<\/p>\n
RESPONSIBILITIES<\/p>\n
Tender Planning<\/p>\n
\tIdentify procurement needs and develop detailed tender specifications.
\n\tCreate and publish detailed RFPs to potential suppliers.
\n\tConduct market research to identify suitable vendors and manage supplier list.
\n\tNegotiate contract terms with selected suppliers, including price, payment terms, delivery.
\n\tEnsure compliance with the Fraser Alexander B-BBEE platform.
\n\tForm part of the cross Functional Team and request quotation for the tender proposal.
\n\tResponsible for the issuing of community expression of interests and update a list of local suppliers per area.
\n\tConsolidate the demand requirements from the business.<\/p>\n
Performed Administration<\/p>\n
\tEnsure proper document management, filing and workflow (i.e. Quality Champions)
\n\tAssistance in all other administration duties.
\n\tLoad suppliers on B1LINK and monitor expired documentation.
\n\tAssist with the master data management.
\n\tAssist with implementation of efficiency projects.
\n\tCoordinate meetings and record keeping.
\n\tSuper user for SAGE and any system used in procurement and tender buying.
\n\tCompile weekly purchase request status reports for senior management meetings.
\n\tMaintain a comprehensive tender database, including supplier information, RFP documents and pricing.
\n\tPrepare reports on tender activity and cost analysis for management.<\/p>\n
Purchasing<\/p>\n
\tScrutinise purchase request for logic descriptions, specifications, lead time prior to approval.
\n\tEnsure correct information on purchase orders.
\n\tLiaise with operations on purchase requisition approval.
\n\tAssist procurement team in placing of low value orders.
\n\tObtain quotes as for low value requisitions.
\n\tAsist in contract release.
\n\tIssue emergency purchase order as per the policy.
\n\tAssist in monitoring contract spend and duration.
\n\tUpdate pricelist including diesel on SAGE<\/p>\n
Supplier Management<\/p>\n
\tStay updated on relevant procurement regulations and legal requirements.
\n\tMonitor supplier performance against contracted terms and address any non-compliance issues.<\/p>\n
Stakeholder Management<\/p>\n
\tEstablish a level of credibility with key stakeholders to ensure smooth group procurement services.
\n\tComply to SLA terms.
\n\tWork and collaborate with all other areas of Financial Shared Services.
\n\tConduct training to the users on new requirement or changes to the system.<\/p>\n
Expediting<\/p>\n
\tIdentify long outstanding orders.
\n\tExpedite outstanding orders.
\n\tFacilitate close-out purchase requisitions as and when required.<\/p>\n
QUALIFICATIONS<\/p>\n
\tBachelor\u2019s degree in Commerce \/ Engineering \/ Economics or equivalent with Logistics, Supply Chain Management or Purchasing.
\n\tAn Honours degree will be an advantageous<\/p>\n
EXPERIENCE<\/p>\n
\t7 \u2013 10 years\u2019 related experience in procurement work environment<\/p>\n
