The Assistant is part of a regional team and is encouraged to collaborate with other Assistants in their office as well as with team members in the Region.<br \/>\n\tThe Assistant takes responsibility for overseeing the administrative, operations and client services support to the Financial Planning Partner and is the liaison person between the practice and the regional office \/ head office.<\/p>\n<p>Categories:<\/p>\n<p>Client Services<\/p>\n<p>\tImplementation of the client services experience, as defined by the Head of Operations.<br \/>\n\tTake full responsibility for the implementation of administrative processes and controls in the Financial Planning practice(s) (including all transactions, queries, reporting etc.).<br \/>\n\tLiaison between Financial Planner Partner and product providers (PPs).<br \/>\n\tEquipped to follow the formal complaint resolution process.<br \/>\n\tIs the point of contact for clients, ensuring the efficient delivery of client requirements on behalf of the Financial Planning Partner(s).<br \/>\n\tAdhere to the culture and principles of Treating Customer Fairly.<\/p>\n<p>Operations<\/p>\n<p>\tCollation of all clients related information (data discovery and fact find) and preparation of documentation for engagement between Financial Planning Partner and client.<br \/>\n\tFICA and AML capture and checking on client onboard process.<br \/>\n\tChecking of transition documentation to ensure completeness and accuracy in alignment to relevant client file checklist &amp; lodgment rules.<br \/>\n\tAdministration relating to client transfer and new business transactions.<br \/>\n\tSubmission of intermediary appointment notes to relevant PPs.<br \/>\n\tMonitoring the submission of intermediary appointment notes to ensure clients successfully transfer to the license group and that ongoing fees are received from the relevant PPs.<br \/>\n\tCapture and checking of new business documentation to ensure completeness and accuracy in alignment to the lodgment rules.<br \/>\n\tSubmission of new business application(s), together with supporting documentation to relevant PPs.<br \/>\n\tMonitoring the underwriting and acceptance of new business transactions.<br \/>\n\tArranging medicals for clients where required and follow up on outstanding requirements to ensure new business transactions are confirmed by the relevant PPs timeously.<br \/>\n\tProviding an ongoing service and maintenance support function to the Financial Planning Partner and his \/ her clients.<br \/>\n\tCheck Commission statements from CommPay (internal commission module linked to CRM) and PPs. Manage commission suspense accounts aligned to compliant new business lodgment.<br \/>\n\tEscalate with PPs regarding commissions \/ fees due to the Financial Planning Partner.<\/p>\n<p>Operational support for Portfolio Managers and CRMs<\/p>\n<p>\tAssistants align with the PCS CRMs to ensure complete pre-population of PCS mandates and applications.<br \/>\n\tAll instructions to PM and CRMs initiated and maintained via XPlan (company\u2019s internal CRM) tasks.<\/p>\n<p>IT &amp; Systems<\/p>\n<p>\tPreparation of client portfolio\u2019s using Astute and \/ or product provider information. Ensuring XPlan Policy Schedules are up to date and accurate.<br \/>\n\tData capture of client demographic data on client relationship management system XPlan.<br \/>\n\tClient financial data capture (ASTUTE, PPs and manual).<br \/>\n\tData integration between XPlan and Integrated Wealth Planning for handover to BDM or Financial Planning Partner.<br \/>\n\tUpload scanned copies of all documentation into xPlan (including relevant client file checklist(s)).<br \/>\n\tEnsure proper record keeping in line with business rules and where relevant, legislation &amp; safe storage into XPlan.<br \/>\n\tDistribute communication(s) to clients as stipulated in the client management plan. (Auto communication registration and health keeping)<br \/>\n\tDistribute communication(s) to clients as requested by the Financial Planning Partner via xPlan.<br \/>\n\tExtensive use of XPlan notes and tasks to manage client records and organization of practice.<br \/>\n\tPrepare for clients reviews as per client review template.<br \/>\n\tClient review preparation by producing and checking the Client Consolidated Reports (CCR) from NAV (the company\u2019s proprietary software that manages all aspects of the Partner\u2019s practice).<br \/>\n\tMaintain an accurate diary system. (XPlan &amp; Outlook integration)<br \/>\n\tAddress all technology issues experienced by the Financial Planning Partner and facilitate the solution &#8211; liaison with the IT support desk etc.<\/p>\n<p>NAV &amp; KPIs<\/p>\n<p>\tFull awareness and understanding of information available on NAV to support the Financial Planning Partner(s).<br \/>\n\tTrack and monitor personal KPIs on NAV.<br \/>\n\tRequest assistance and guidance from POM where KPI scores reflect gaps.<br \/>\n\tLiaise and orientate with the Financial Planning Partner on all data and practice attributes on NAV.<\/p>\n<p>Marketing Support<\/p>\n<p>\tAssist with the organization of client events in conjunction with the events coordinator i.e. booking venues, RSVP management, event management etc.<br \/>\n\tAssisting Financial Planning Partners at client events.<br \/>\n\tFunction as a primary point of contact for clients thus strengthening client relationships.<\/p>\n<p>Office Management<\/p>\n<p>\tSupport the general office management including reception, facilities, meeting room management, stationery, marketing material etc.<br \/>\n\tSubmit orders for stationery, business cards, marketing brochures, client folders etc. to the Partnership Operations Manager timeously to avoid running out of stock.<\/p>\n<p>Knowledge<\/p>\n<p>\tFinancial Services Industry<br \/>\n\tUnderstanding of FAIS and FICA legislation<\/p>\n<p>Competencies\u00a0\u00a0<\/p>\n<p>\tComputer skills: Microsoft Office (Excel, Word, Outlook essential); SharePoint<br \/>\n\tExperience with XPlan<br \/>\n\tGood verbal and written communications skills<br \/>\n\tHigh energy individual who is customer centric and relationship orientated<br \/>\n\tMethodical, accurate and have meticulous attention to detail.<br \/>\n\tInitiative-taking work ethic.<br \/>\n\tOrganizational skills, ability to prioritize, plan and manage projects.<br \/>\n\tAbility to collaborate with others.<br \/>\n\tCritical thinking: ability to strategize, research and interpret.<br \/>\n\tProblem solving ability to apply creative skills in evaluating problems and identifying best solutions while being flexible to accommodate the changing needs of the clients.<br \/>\n\tTeamwork: be a reliable and productive member of the team.<br \/>\n\tProfessional presence: as a representative of the organization, a professional image and professional conduct are always expected and required.<br \/>\n\tTime management: ability to manage time and tasks to ensure deadlines are met.<br \/>\n\tAssertiveness, proactive &amp; resourceful<br \/>\n\tResilient under pressure<br \/>\n\tAbility to multi-task<br \/>\n\tMaintain absolute confidentiality.<\/p>\n<p>Qualifications and Experience<\/p>\n<p>\t2-3 years in the financial services industry required.<br \/>\n\tRelevant tertiary education or courses.<\/p>\n<p>Attributes<\/p>\n<p>\tThe individual puts the needs of clients first and takes ownership of the goal to always strive to be effective in our clients\u2019 lives and can facilitate and assist Financial Planning Partner(s).<\/p>\n<p>go to method of application \u00bb<\/p>\n<p>Apply via company website ( N \/ A ) or<\/p>\n<p>&nbsp;<\/p>\n","protected":false},"author":2,"featured_media":0,"template":"","meta":{"_promoted":"","_job_location":"","_application":"","_company_name":"Catch","_company_website":"http:\/\/N%20\/%20A","_company_tagline":"At Catch Recruit, our mission is simple: to connect exceptional talent with the right opportunities, ensuring a perfect blend of professional skills and cultural fit.
