About the Role<\/p>\n
\tWe are looking for a\u00a0Finance Administrator\u00a0to join our Operations Finance team. This role is ideal for someone who thrives in a high-volume, process-driven environment and has strong attention to detail.
\n\tYou will be responsible for the accurate and timely processing of EFT refunds and trade-in cashbacks, managing cash suspense accounts, and supporting store operations through effective query resolution. The role requires strong organisational skills, the ability to handle repetitive tasks efficiently, and a proactive approach to resolving discrepancies.
\n\tThis role plays a critical part in maintaining financial control, ensuring operational efficiency, and enabling the broader finance team to focus on cashbook management and system improvements.<\/p>\n
Key Responsibilities:<\/p>\n
EFT Refund Processing<\/p>\n
\tProcess and manage approximately 200\u2013250 EFT refunds per month.
\n\tVerify refund requests, including customer details, banking information, and validity of the claim.
\n\tEnsure funds are available prior to processing refunds.
\n\tPrepare and maintain supporting documentation, including payment packs and system screenshots.
\n\tSubmit refunds for approval in line with internal controls and policies.<\/p>\n
EFT Trade-in Refunds (Cashbacks)<\/p>\n
\tProcess high volumes of trade-in cashback transactions (approximately 1,000\u20131,250 per month).
\n\tValidate invoices, customer details, and banking information prior to payment.
\n\tEnsure timely and accurate processing to support customer experience and service levels.<\/p>\n
Cash Suspense Management<\/p>\n
\tInvestigate and resolve cash suspense items and variances.
\n\tLiaise with stores via phone and email to resolve discrepancies.
\n\tProcess journals and adjustments where required.
\n\tLog and follow up on system-related issues (e.g., ERP tickets).
\n\tEnsure timely clearing and reconciliation of suspense accounts.<\/p>\n
Reporting & Administration<\/p>\n
\tProcess daily invoice amendments for stores and online transactions.
\n\tAssist with bank guarantee applications and submissions.
\n\tProvide documentation for second-hand goods certificate renewals.
\n\tDispatch manual invoice books as requested by stores.
\n\tRespond to store queries via email and telephonic communication.<\/p>\n
Petty Cash Management<\/p>\n
\tReview and approve store petty cash transactions.
\n\tEnsure compliance with internal policies and supporting documentation requirements.<\/p>\n
Ad Hoc Duties<\/p>\n
\tSupport the finance team with administrative and operational tasks as required.
\n\tAssist in maintaining continuity of operations during peak periods or team absences.<\/p>\n
Required Skills & Experience:<\/p>\n
\t1\u20133 years permanent working experience in a finance or administrative role.
\n\tExperience in a high-volume transactional environment advantageous.
\n\tExposure to retail and\/or distribution environments beneficial.
\n\tExperience working with ERP systems (e.g., Syspro) advantageous.
\n\tProficient in Microsoft Excel and Outlook.<\/p>\n
Qualifications:<\/p>\n
\tCompleted Matric (Minimum requirement)
\n\tRelevant Finance or Accounting qualification advantageous<\/p>\n
