To qualify for this position, you need:<\/p>\n
\tMatric.
\n\tNQF 4 in Real Estate.
\n\tMinimum 2 years\u2019 experience in property portfolio\/rentals management.
\n\tExperience with rentals environment.
\n\tFamiliarity with PayProp System.
\n\tStrong admin & detail-orientation.
\n\tExcellent communication and telephone etiquette.<\/p>\n
Duties and responsibilities include, but not limited to:<\/p>\n
Trustee Representation & Governance:<\/p>\n
\tServe as an appointed Trustee or Chairperson on multiple Body Corporate and HOA boards.
\n\tLead governance, decision-making, and strategic direction at board level.
\n\tEnsure all decisions, resolutions, and governance processes comply with STSMA, CSOS Act, and the Prescribed Management Rules.
\n\tProvide expert trustee guidance, ensuring boards operate professionally, transparently, and within mandate.
\n\tDrive long-term growth, stability, and financial sustainability of each scheme.<\/p>\n
Managing Agent Oversight (Instruction, Control & Performance Management)<\/p>\n
\tAct as the primary instruction point to managing agents on behalf of the board.
\n\tSet performance expectations, SLAs, and monthly reporting requirements for all managing agents.
\n\tReview managing agent performance, service levels, arrears, maintenance, budgets, and compliance.
\n\tAddress non-performance decisively and escalate for corrective action.
\n\tLead the appointment, onboarding, and rotation of managing agents were necessary.<\/p>\n
Strategic Service Provider &Supplier Management:<\/p>\n
\tEstablish and maintain relationships with preferred managing agents, maintenance companies, security providers, legal advisors, insurance brokers, and other professionals.
\n\tNegotiate competitive pricing, value, and service levels across the supplier ecosystem.
\n\tEnsure all selected service providers report through the Portfolio Manager and meet required performance standards.
\n\tOversee and approve major projects, tenders, and quotations as part of the board mandate.<\/p>\n
Financial Strategy, Oversight & Control:<\/p>\n
\tReview and approve annual budgets, levy strategies, reserve fund planning, and forecasting.
\n\tMonitor monthly financial performance, including arrears control, special levies, and project budgets.
\n\tHold managing agents accountable for accurate financial reporting, cash flow management, and audit preparation.
\n\tEnsure compliance with STSMA minimum reserve requirements.<\/p>\n
Maintenance Strategy &Capital Planning:<\/p>\n
\tOversee maintenance priorities, capital projects, and long-term maintenance plans (LTMP).
\n\tEnsure service providers perform as contracted, following board instructions.
\n\tReview RedRabbit \/ maintenance reporting where applicable through managing agents.
\n\tApprove project scopes, tender processes, contractor appointment, and quality control feedback.<\/p>\n
Stakeholder & Owner Relations:<\/p>\n
\tRepresent the board professionally to all owners and stakeholders.
\n\tEnsure communication standards are upheld by managing agents.
\n\tFacilitate owner meetings, AGMs, SGMs, and trustee workshops.
\n\tEnsure complaints, disputes, and queries are handled through correct channels and resolved effectively.<\/p>\n
Centre of Excellence & Leadership Development:<\/p>\n
\tServe as a senior member of the Body Corporate CoE, contributing to SOPs,
\n\tTrustee governance frameworks, templates, reporting standards, and national best practice.
\n\tMentor future trustee specialists as the team grows.<\/p>\n
