The Administrative Assistant provides clerical and administrative office work such as data processing, document processing, as well as records and file maintenance.\u00a0
\n\tThe Administrative Assistant role will be positioned in the quality \u00a0departments \u00a0where data, documents and information are being processed following standardized procedures. In-depth knowledge of the department and its function is not essential to perform the tasks; a general knowledge of the standard procedures suffices.\u00a0
\n\tThe Administrative Assistant can normally quickly familiarize with the relevant procedures and work instructions.\u00a0
\n\tThe work is well-defined and standardized.\u00a0
\n\tThe Administrative Assistant role may also include some secretarial and general office duties as appropriate.<\/p>\n
The Administrative Assistant role requires competence MS Office (Excel, Word, PDF) and Outlook
\nJob Description:\u00a0<\/p>\n
Data, document and information processing:<\/p>\n
\tReceives, classifies, consolidates, and\/or summarizes documents and information.
\n\tProcesses data and information in various systems \/ databases according to the relevant work instructions.
\n\tRequest analysis and consumables quotes.
\n\tCreate PO’s
\n\tMaintains records or documents and data processed.
\n\tFiling of lab documents.
\n\tCreate COC\u2019s and find COA for customer deliveries.<\/p>\n
Communications:<\/p>\n
\tOccasionally contacts customers, suppliers or organization employees outside the immediate work area to exchange information.
\n\tSending analysis reports to customer.<\/p>\n
Data assembly:<\/p>\n
\tAssembles relevant data, and compiles information as directed.
\n\tCompiles various regular reports in accordance with standard operating procedures.<\/p>\n
Secretarial duties and other tasks:<\/p>\n
May perform secretarial and administrative tasks such as:<\/p>\n
\tAdding analysis results on LIMS.
\n\tOpen and distribute office mail. Respond with form letter to routine requests.
\n\tProduce routine emails \/ documents from specific instructions.
\n\tReceiving and register samples for internal and external analysis.
\n\tWashing and cleaning of lab utensils.
\n\tPerform special project duties as assigned<\/p>\n
