{"id":33654,"date":"2026-04-10T10:02:17","date_gmt":"2026-04-10T10:02:17","guid":{"rendered":"https:\/\/jobs.dataaxisnode.com\/southafrica\/job\/committee-coordinator-assistant-secretariat-unit\/"},"modified":"2026-04-17T00:24:31","modified_gmt":"2026-04-17T00:24:31","slug":"committee-coordinator-assistant-secretariat-unit","status":"expired","type":"job_listing","link":"https:\/\/jobs.dataaxisnode.com\/southafrica\/?post_type=job_listing&p=33654","title":{"rendered":"Committee Coordinator Assistant (Secretariat Unit)"},"content":{"rendered":"<p>Key responsibilities:\u00a0<\/p>\n<p>Council Committee Meeting Management:\u00a0<\/p>\n<p>\tUnderstand the terms of reference of serviced committees.\u00a0<br \/>\n\tAssist in developing the annual Committee Meeting Calendar.\u00a0<br \/>\n\tAssist in Scheduling meetings as per calendar or as requested\u00a0<br \/>\n\tAssist in dealing with urgent business requiring attention of the chairperson of a committee.\u00a0<br \/>\n\tUnderstand committee interrelationships and advice for effective decision-making.\u00a0<br \/>\n\tTake heed from the Company Secretary on the Advice to designated committees and meetings of committees on Rules of Procedure and Committee Standing Orders.\u00a0<br \/>\n\tLearn to serve as a reference point for committee members with regards to matters dealt with by the committee.\u00a0<br \/>\n\tRespect turnaround times in all processes.\u00a0<br \/>\n\tPrepare for meetings (meeting documentation, agendas, contact with committee members).\u00a0<br \/>\n\tBe part of the team to brief the Chairperson and Secretary on the meeting agenda and related items.\u00a0<br \/>\n\tAttend meetings and assist take meeting minutes.\u00a0<br \/>\n\tAssist record keeping of attendance at meetings of committees\u00a0<br \/>\n\tAdvice on quorum matters at committee meetings.\u00a0<br \/>\n\tAssist to compile and circulate action sheets for each meeting to ensure decisions are implemented.\u00a0<br \/>\n\tAssist to compile electronic meeting minutes within agreed deadlines (turnaround times).\u00a0<br \/>\n\tAssist in editing and proof-reading of meeting minutes.\u00a0<br \/>\n\tCommunication with stakeholders and committee members.\u00a0<br \/>\n\tFiling and archiving of documents.\u00a0<\/p>\n<p>Other Responsibilities:\u00a0<\/p>\n<p>\tEnsure adherence to the Promotion of Access to Information Act and other relevant legislation and guidelines.\u00a0<br \/>\n\tAdhere to quality standards in all areas of the job.\u00a0<br \/>\n\tPresent a positive image of the Council in all aspects of the job and maintain high levels of integrity.\u00a0<\/p>\n<p>Continuous improvement:\u00a0<\/p>\n<p>\tParticipate in continuous improvement of self and role outputs\/services.\u00a0<br \/>\n\tContinuously learn and keep up to date with new developments and changes within own role, the department, organisation and industry.\u00a0<br \/>\n\tActively share the workload and responsibilities of the team when required, working collaboratively and supporting team members.\u00a0<br \/>\n\tMaintain ownership for own work, performance management and development.\u00a0<br \/>\n\tMaintain optimum quality of work outputs.\u00a0<br \/>\n\tMaintain open and honest communication.\u00a0<br \/>\n\tEngage in problem solving and continuous improvement processes that optimise role outputs and services.\u00a0<br \/>\n\tEfficiently utilise the NHC resources.\u00a0<br \/>\n\tComply to NHC policies and procedures.\u00a0<\/p>\n<p>Qualifications, skills and experience:\u00a0<\/p>\n<p>\tM+3 Relevant Degree or equivalent qualification or Professional qualification such as Chartered Secretaries\/Governance Professional course at NQF 7.\u00a0<br \/>\n\tAdvanced Computer Literacy.\u00a0<br \/>\n\tIntroductory Project Management.\u00a0<br \/>\n\tKnowledge of Committee work.\u00a0<br \/>\n\tMinimum 5 Years in Committee Administration.\u00a0<br \/>\n\tHigh level of confidentiality.\u00a0<br \/>\n\tInterpersonal skills.\u00a0<br \/>\n\tCommunication skills\u00a0<br \/>\n\tProblem solving skills\u00a0<br \/>\n\tNegotiation skills.\u00a0<br \/>\n\tAttention to detail\u00a0<br \/>\n\tLanguage and editing\u00a0<br \/>\n\tAbility to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
