This role ensures that all maintenance requests are logged correctly, allocated timeously, tracked through to completion, and captured accurately, using the Client Portal and Red Rabbit as the core working systems.<br \/>\n\tThe Maintenance Administrator supports Portfolio Managers by providing clear, factual operational updates, allowing them to manage client communication effectively.<\/p>\n<p>To qualify for this position, you need:<\/p>\n<p>\tMatric.<br \/>\n\tMinimum 2\u20134 years experience in maintenance administration.<br \/>\n\tRelevant experience in property or facilities management.<br \/>\n\tExperience Ticket-based operational environments.<br \/>\n\tExperience working with Red Rabbit, CRM systems, or similar platforms preferred.<br \/>\n\tHigh attention to detail.<br \/>\n\tStrong organisational and time-management skills.<br \/>\n\tAbility to manage high volumes under pressure.<br \/>\n\tCost-aware and control-focused mindset.<br \/>\n\tProcess-driven and structured approach.<\/p>\n<p>Key Performance Indicators (KPIs)<\/p>\n<p>\tMaintenance ticket turnaround times.<br \/>\n\tAccuracy and completeness of ticket information.<br \/>\n\tReduced maintenance-related escalations.<br \/>\n\tInvoice and quotation accuracy.<br \/>\n\tReduced recurrence of unresolved maintenance issues.<\/p>\n<p>Duties and responsibilities include, but not limited to:<\/p>\n<p>Maintenance Ticket Administration:<\/p>\n<p>\tReceive and log maintenance requests via the Client Portal and Red Rabbit.<br \/>\n\tVerify tickets for correct property, unit, scope, and priority.<br \/>\n\tQuery or reject incomplete requests before allocation.<br \/>\n\tEnsure each maintenance issue is managed through a single, traceable ticket.<\/p>\n<p>Job Allocation &amp; Follow-Up:<\/p>\n<p>\tAllocate tickets to approved contractors based on trade, availability, and SLAs.<br \/>\n\tIssue work instructions through Red Rabbit.<br \/>\n\tMonitor job progress and proactively follow up on delays.<br \/>\n\tEscalate stalled or problematic jobs to the Maintenance Team Leader or Facilities Manager.<\/p>\n<p>Quotation &amp; Cost Administration:<\/p>\n<p>\tRequest and capture quotations where required.<br \/>\n\tEnsure quotations align with the approved scope of work.<br \/>\n\tConfirm approvals are in place before work proceeds.<br \/>\n\tCapture invoices accurately against the correct ticket and approved quotation.<br \/>\n\tIdentify and flag scope creep, duplicate billing, or repeated call-outs.<\/p>\n<p>Portfolio Manager Support:<\/p>\n<p>\tProvide clear and factual updates to Portfolio Managers only.<br \/>\n\tEnsure Portfolio Managers have visibility of: Job status, Contractor feedback, Access or scheduling issues.<br \/>\n\tPortfolio Managers remain the sole client-facing contact for owners and tenants.<\/p>\n<p>Systems &amp; Workflow Discipline:<\/p>\n<p>\tMaintain accurate ticket statuses in Red Rabbit at all times.<br \/>\n\tEnsure all notes, approvals, quotations, and invoices are uploaded and recorded.<br \/>\n\tClose tickets only once work is confirmed complete and documentation is in place.<br \/>\n\tEnforce consistent use of systems and prevent off-system work.<\/p>\n<p>Recurring Issue Identification:<\/p>\n<p>\tIdentify recurring maintenance issues across units or schemes.<br \/>\n\tHighlight contractor performance concerns or repeated rework.<br \/>\n\tEscalate recurring issues to the Maintenance Team Leader or Facilities Manager for intervention.<\/p>\n<p>go to method of application \u00bb<\/p>\n<p>Apply via company website ( http:\/\/igrow.co.za\/ ) or<\/p>\n<p>&nbsp;<\/p>\n","protected":false},"author":2,"featured_media":0,"template":"","meta":{"_promoted":"","_job_location":"","_application":"","_company_name":"IGrow Wealth Investments","_company_website":"http:\/\/igrow.co.za\/","_company_tagline":"IGrow Wealth is a Property investment company which assists Property investors to achieve financial independence by building lasting wealth through high-performing property portfolios.
