Job Description<\/p>\n
\tThe Sales Administrator is responsible for ensuring the accuracy, consistency, and efficiency of product data, pricing, order processing, and stock coordination across all internal systems and retail partner platforms.
\n\tThis role plays a critical part in maintaining operational excellence by managing product listings, supporting order fulfilment, aligning pricing, and driving process improvements, while ensuring high levels of accuracy, compliance, and stakeholder communication.<\/p>\n
Key Responsibilities<\/p>\n
Product Listing & Data Management<\/p>\n
\tCreate and maintain accurate product listings across all internal and retailer systems.
\n\tEnsure all product information (descriptions, specifications, pricing, barcodes, images) is complete and up to date.
\n\tCoordinate with suppliers and internal teams to source and update product information.
\n\tMaintain structured and accessible product documentation.
\n\tConduct regular audits to ensure consistency across all platforms.
\n\tMaintain accurate pricing across all systems and customer platforms.
\n\tEnsure alignment between supplier pricing, internal costing, and retailer pricing
\n\tImplement approved price changes within agreed timelines.
\n\tMonitor and escalate pricing discrepancies where required.<\/p>\n
Order Processing & Fulfilment Support<\/p>\n
\tProcess and manage sales orders from retail partners.
\n\tCoordinate stock allocation with warehouse and relevant business units.
\n\tTrack orders from placement through to delivery.
\n\tFollow up on outstanding orders to ensure timely fulfilment.
\n\tCommunicate proactively with stakeholders on order status and updates.<\/p>\n
Stock Coordination & Warehouse Liaison<\/p>\n
\tLiaise with warehouse teams on stock availability and production timelines.
\n\tMonitor stock requiring re-barcoding or preparation prior to dispatch.
\n\tEnsure accurate allocation of stock to retailer orders.
\n\tEscalate stock shortages or delays proactively.<\/p>\n
Weekly Reconciliations & Order Accuracy<\/p>\n
\tPerform weekly reconciliations of stock allocations vs retailer orders.
\n\tValidate alignment between allocated stock and actual orders placed.
\n\tReconcile retailer Purchase Orders (POs) against internal systems.
\n\tIdentify and investigate discrepancies, providing structured feedback.
\n\tTrack PO delivery dates and manage timelines to ensure on-time delivery.
\n\tProactively manage PO extensions where required, with valid justification.<\/p>\n
Communication & Stakeholder Management<\/p>\n
\tMaintain professional communication with internal teams, suppliers, and retail partners.
\n\tProvide regular updates on order status, delays, and resolutions.
\n\tRespond to queries within agreed service levels.
\n\tEscalate critical issues in a timely and effective manner.<\/p>\n
Requirements<\/p>\n
Qualifications<\/p>\n
\tMatric (Grade 12)
\n\tRelevant qualification in Supply Chain, Business Administration, Commerce, or similar (advantageous)<\/p>\n
Experience<\/p>\n
\t2\u20134 years\u2019 experience in a similar operations, supply chain, or retail coordination role
\n\tExperience working with product data, pricing, and order management systems
\n\tExposure to retail, e-commerce, or distribution environments preferred<\/p>\n

\n\tStrong analytical and problem-solving ability
