What will you do?<\/p>\n
\tThe Receptionist acts as the primary front office management representative, managing both the visitor experience and supporting administrative facility operations. Receives visitors to the organisation, determining their needs and directing them accordingly.
\n\tAnswers general queries and directs them to the relevant personnel or department. May also perform routine typing, clerical or secretarial duties and be responsible for switchboard operations. Contributes towards the image of the Company.<\/p>\n

Customer Service Management:<\/p>\n
\tResponsible for providing a compliant, professional, safe and welcoming front desk service, managing visitor flow, controlling access, coordinating communications and providing administrative support.
\n\tInteracts with operational and first-line supervisory\/management personnel within the client\/user area.
\n\tDemonstrates the ability to influence clients.
\n\tParticipates in meetings with users along with the managers.
\n\tResponds to user service requests.
\n\tKeeps clients informed of status via standard reporting techniques.
\n\tMeets continuing and unplanned service requirements without disruption in service levels.
\n\tSuccessfully gains access to both clients and consumers.<\/p>\n
Customer Contact Management<\/p>\n
\tPossesses sufficient fundamental proficiency to successfully manage contact with customers in situations of moderate difficulty.
\n\tAd hoc reporting and support where required.
\n\tHas working knowledge and experience or training accessing information to prepare reports.
\n\tWorking knowledge, effective management and experience in switchboard management and control.<\/p>\n
Facilities & Administrative Support<\/p>\n
\tSchedule and coordinate meeting room bookings and ensure they are ready for use.
\n\tMaintain the cleanliness and presentation of the reception area, meeting rooms and front office common areas.
\n\tSupport Facilities Management with reporting maintenance issues and coordinating vendors.<\/p>\n
Qualification and experience<\/p>\n
\tCompleted Grade 12 qualification
\n\tMinimum of 5 years related experience
\n\tCertification in office administration or front-of-house management will be advantageous.<\/p>\n
