Key Responsibilities:<\/p>\n
\tLog, update, and close job cards for workshop and field service activities.
\n\tCoordinate quotations, approvals, invoicing, credits, and customer follow-up.
\n\tPrepare and maintain accurate service documentation and records.
\n\tSupport planning and scheduling of workshop repairs and field technician activities.
\n\tTrack repair progress, turnaround times, and service status updates.
\n\tCoordinate stock, spare parts requests, backorders, and purchasing support.
\n\tProduce monthly operational reports, KPI reports, and service dashboards.
\n\tCommunicate professionally with customers regarding service status, quotations, delays, and completions.
\n\tSupport calibration, tooling, and asset administration records.
\n\tMaintain traceability of devices, repairs, parts usage, and technician activity.
\n\tAssist with audit preparation and compliance documentation.
\n\tProvide general administrative support to the Technical Services department.<\/p>\n
Requirements<\/p>\n
\tRelevant qualification in administration, business, supply chain, finance, or technical support advantageous.
\n\tMinimum 3 years administration experience in a technical service, workshop, logistics, healthcare, or engineering environment.
\n\tStrong proficiency in Microsoft Office suite (Excel, Word, Outlook, PowerPoint) \u2013 advanced Excel advantageous.
\n\tExperience with ERP, CMMS, CRM, or service management systems advantageous.
\n\tStrong organisational skills with ability to manage multiple priorities.
\n\tHigh attention to detail and data accuracy.
\n\tStrong communication skills \u2013 written and verbal.
\n\tAbility to interact professionally with customers, technicians, and management.
\n\tUnderstanding of stock control, invoicing, quotations, and reporting processes advantageous.
\n\tRegulatory Knowledge: Exposure to ISO quality systems or controlled environments advantageous.
\n\tCustomer Focus: Strong commitment to service excellence and professionalism.
\n\tProblem-Solving Skills: Ability to identify issues early and coordinate solutions.<\/p>\n
