We are seeking a highly detail-oriented and operationally focused Administrative Stock Controller to manage end-to-end stock administration and inventory control processes across three mining trading entities.
\n\tThe role is responsible for ensuring accurate stock processing, purchase order administration, inventory movement tracking, and SAP stock integrity across multiple sidings and port locations. The successful candidate will play a critical role in reconciling operational stock movements with SAP records, supporting month-end reporting, and ensuring accurate inventory valuation and transaction processing.
\n\tThis role requires a strong administrative controller mindset, excellent SAP capability, high attention to detail, and the ability to work closely with operations, logistics, finance, and commercial teams.<\/p>\n
Key Responsibilities<\/p>\n
Purchase Order Administration & Control<\/p>\n
\tCreate and process purchase orders (POs) on SAP.
\n\tTrack and manage all POs from initiation through to final closure.
\n\tEnsure all supporting documentation is complete and correctly processed.
\n\tProcess supplier invoices against approved POs.
\n\tInvestigate and resolve PO, GRN, invoice, and stock discrepancies.
\n\tEnsure timely and accurate closure of completed POs.<\/p>\n
Stock Processing & Inventory Administration<\/p>\n
\tProcess all stock movements accurately through SAP.
\n\tMaintain accurate stock balances across sidings, rail, and port operations.
\n\tCapture and process inventory transfers between locations and entities.
\n\tPrepare stock by required quality grades within SAP to facilitate:
\n\tRail transfer processing
\n\tSales invoicing
\n\tClient allocations
\n\tProcess stock adjustments, gains, and losses based on operational counts and reconciliations.<\/p>\n
Inventory Reconciliation & Validation<\/p>\n
\tReconcile operational stock reports against SAP stock reports daily\/weekly\/monthly.
\n\tValidate completeness and accuracy of stock movements recorded by operations.
\n\tInvestigate stock variances and follow up with operations teams to resolve discrepancies.
\n\tReview stock-on-hand balances versus physical counts at sidings and port facilities.
\n\tEnsure integrity and reliability of inventory records across all three entities.<\/p>\n
Month-End Inventory & Valuation<\/p>\n
\tPerform month-end stock reviews and reconciliations for all sidings and port locations.
\n\tPrepare monthly stock valuation reports for the three trading entities.
\n\tGenerate and distribute monthly inventory movement reports.
\n\tSupport finance with inventory reporting, reconciliations, and audit requirements.
\n\tAssist with stock provisioning and variance analysis where required.<\/p>\n
Reporting & Operational Support<\/p>\n
\tGenerate regular inventory movement and stock valuation reports.
\n\tProvide operational and management reporting relating to stock balances and movements.
\n\tMonitor stock movement trends and highlight irregularities or control weaknesses.
\n\tSupport continuous improvement of inventory and stock control processes.<\/p>\n
Minimum Requirements:

\n\tBusiness Administration or related field<\/p>\n
Experience
\nMinimum 3\u20135 years\u2019 experience in:<\/p>\n
\tStock control
\n\tInventory administration
\n\tMining, logistics, commodities, or trading environment
\n\tStrong experience working on SAP inventory and procurement modules.<\/p>\n
Experience with:<\/p>\n
\t\u00a0Purchase order processing
\n\t\u00a0Inventory reconciliations
\n\t\u00a0Invoice processing
\n\t\u00a0Month-end stock procedures
\n\tExposure to rail, siding, port, or bulk commodity environments advantageous.<\/p>\n
Technical Skills<\/p>\n
\tStrong SAP knowledge and experience essential.
\n\tStrong Excel skills required.
\n\tUnderstanding of inventory valuation principles.
\n\tStrong reconciliation and reporting capability.
\n\tAbility to analyse operational reports versus system reports.<\/p>\n
