\tAscertain who the parties are that you will be required to engage with internally in the business (sales team\/procurement\/accounts\/services team\/warehouses\/office management business management).\u00a0
\n\tAscertain who the key contact people are that you will be required to engage with at the vendors or distributors. \u00a0
\n\tUnderstand the process that is followed by each division before it gets to you and becomes your responsibility.\u00a0
\n\tBuild good working relationships with the people you are required to engage with.\u00a0
\n\tManage day-to-day e-communications (Skype\/email), internally or externally.\u00a0
\n\tEnsure you are trained on the systems you work on and have full knowledge.\u00a0
\n\tAttend meetings or training when required. \u00a0\u00a0
\n\tPrompt, professional and polite interaction with customers will be required.\u00a0
\n\tYou and your account manager(s) are a team, a respectful working relationship is important\u00a0<\/p>\n

In conjunction with the responsible external Account Manager, you will need to \u2026\u00a0<\/p>\n
\tAcknowledge all customer requests within 4 hours, so that customers know you have received the request and are working on it.\u00a0
\n\tAdhere to any signed SLA\u2019s within customers for agreed requirements.\u00a0
\n\tGenerate client quotes\u00a0
\n\tCheck quotes against the customer detail in order to ensure you are quoting correctly.\u00a0
\n\tCheck dependency guides or other sources to ensure you are recommending additional peripherals the customer may require.\u00a0
\n\tCommunicate any differences\/discrepancies or risks to the customer.\u00a0
\n\tComplete Tenders and Proposals as and when required and with assistance of departmental legal advisor.\u00a0
\n\tGenerate customer purchase reports and summaries.\u00a0
\n\tAssist customers with budgetary quotations during their budget preparation cycles.\u00a0
\n\tManage software licensing renewals for customers.\u00a0
\n\tCheck renewal dates and send renewal quotes timeously for budgets.\u00a0
\n\tGenerate annual billing quotations for SLA\u2019s or subscription products and follow up on orders.\u00a0
\n\tGenerate quotations on the internal quotation template\/tool\u00a0
\n\tEnsure pricing\/special deal deadlines are adhered to.\u00a0
\n\tEnsure orders processed are completed correctly for accurate invoicing.\u00a0
\n\tUpdate CRM \u2013 \u00a0
\n\tAll quotes.\u00a0
\n\tNew customers.\u00a0
\n\tProspects.\u00a0
\n\tCustomer detail updates.\u00a0
\n\tClose opportunities.\u00a0
\n\tAccuracy of records\/data.\u00a0
\n\tManage back orders, stock reports, debtor\u2019s reports and ETA\u2019s.\u00a0
\n\tCo-ordinate delivery and return of any loan stock.\u00a0
\n\tRespond to product queries.\u00a0
\n\tKeep up-to-date on vendor campaigns.\u00a0
\n\tCreate customer specific price list where required.\u00a0
\n\tManage client folders on the server and keep them up to date.\u00a0
\n\tAssist debtors with outstanding payments from customers.\u00a0
\n\tComplete and follow up on credit application forms submitted to customers.\u00a0
\n\tFollow up on credit application forms returned from customers to debtors.\u00a0
\n\tArrange customer deliveries where required.\u00a0
\n\tComplete credit increase forms.\u00a0
\n\tConfirm Account Manager Appointments where required.\u00a0
\n\tManage quarterly\/ monthly target with Account Manager.\u00a0
\n\tEnsure margin and ROE calculations on quotations are correct.\u00a0
\n\tEnsure pro-rated billings or annual billings are calculated corrected.\u00a0
\n\tAccurately process customer transactions such as orders and returns.\u00a0
\n\tEnsure you understand the returns\/credits terms and conditions of vendors.\u00a0
\n\tIt is paramount that you ensure you stay up-to-date on all product, licensing and operations information in order to support your account manager and the customers in various ways and be able to write all exams for formal certifications.\u00a0
\n\tAttend vendor training \u2013 on-site or on-line.\u00a0
\n\tLook for upsell and cross sell opportunities within your customer base.\u00a0
\n\tAssist Account Manager in managing their calendar.\u00a0
\n\tPrepare customer visit packs when required.\u00a0
\n\tAssist after hours when required (normally month end or financial year end or to make a deadline).\u00a0<\/p>\n
GENERAL REQUIREMENTS\u00a0<\/p>\n
\tEnsure that all detail is 100% correct.\u00a0
\n\tMaintain filling and\/or archiving systems.\u00a0
\n\tProvide administrative support during the procurement process, where necessary.\u00a0
\n\tRecord, update and edit data, information and documents and maintain company database.\u00a0
\n\tIdentify and timeously address problems.\u00a0
\n\tEscalate problems timeously when required.\u00a0
\n\tCompile and complete vendor application documentation, when necessary.\u00a0
\n\tEnsure processes are adhered to for Corporate Governance and Risk to be maintained.\u00a0
\n\tReport any non-compliant information or behaviour to management.\u00a0
\n\tAll other tasks reasonably necessary to fulfil the above function, of Internal Sales, and compliance with all other reasonable instructions given by the employer.<\/p>\n
