\tThe Sales and Tender Coordinator entail all administrative and support duties for the sales solutions department, including managing and coordinating quotes and proposals for all bundled cross divisional proposals and tenders and ensuring they are submitted on time.<\/p>\n
Key Responsibilities<\/p>\n
Tender Coordination External liaison with clients, potential clients \/ stakeholders.<\/p>\n
\tSearch for relevant tenders on various platforms, review and distribute suggestions to relevant to ascertain interest.
\n\tEnsure tender bulletins are checked daily and feedback is provided to relevant business units and stakeholders.
\n\tReceive bid \/ tender \/ RFI \/ RFQ \/ RFP \/ database registration \/ supplier registration requests \u2013 from internal teams and external sources
\n\tAdvise relevant business unit representative of bid \/ tender \/ information or registration requirements.\u00a0 Collate all company and \/ service-related information.
\n\tCompile bid \/ tender \/ information and registration documents for review, approval and submissions.
\n\tUpdate and maintain accurate bid \/ tender \/ information \/ registration tracker \u2013 of all submitted bids \/ tenders, pending, won, lost.\u00a0 Liaise with external stakeholders regularly for feedback.
\n\tProvide end-to-end support throughout the bid \/ tender lifecycle; including administrative, meeting \/ survey coordination; and kick-off meetings.\u00a0
\n\tCo-ordinate and conduct internal stakeholder meetings, information requirements and deadlines.
\n\tEffective internal and external supplier \/ customer relationship.
\n\tEnsure understanding of company products and service offering.
\n\tMaintain database of company documents.\u00a0
\n\tResearch and collate marketing information and pricing which may influence and assist in securing the relevant tenders and enquiries.\u00a0
\n\tResearch market for potential new leads (lead generation).\u00a0
\n\tSubmit products and services to existing and potential customers (electronically and telephonically).<\/p>\n
Internal Sales by assisting internal stakeholders with quotes.\u00a0<\/p>\n
\tAssist Business Development Managers, Sales Consultants and Operations Managers with quotes (online and \/ or general quote document\/s).
\n\tConsolidate quotes for Multi Divisional proposals.
\n\tPrepare quotations to be presented to clients. Timeously send quotes to customers. Follow-up on quotes sign-off.
\n\tResolve customer queries regarding invoices.<\/p>\n
\u00a0Compliance Focus to ensure that all regulatory measures are consistently applied.<\/p>\n
\tCoordination, compilation and completion of tenders and quotations (RFQ\u2019s) for the Group and ensure that all documentation is accurate and completed timeously.
\n\tTo collect functional \/ technical evaluation results and ensure feedback is captured in writing.
\n\tEnsure that the final Bid document is delivered to the client within the defined tenser deadlines.
\n\tFollow up on tenders submitted and maintain a Tender Tracker.<\/p>\n

\tKeep order tracker updated (tender\/RFQ\u2019s that we have been awarded).
\n\tEnsure copies of company documents are certified.
\n\tStrive to continuously improve the tender process

Requirements<\/p>\n
\tStandard 10\/ Grade 12\/ University entrance
\n\tBusiness Administration Certificate
\n\tMinimum of 3 years\u2019 experience in bids and tenders
\n\tInternal Sales\u00a0experience
\n\tCustomer Service\u00a0experience\u00a0
\n\tCosting and Quoting experience\u00a0<\/p>\n
The successful incumbent must have the following competencies and skills sets:<\/p>\n
\tExperience within the hygiene cleaning, FMCG, food production, or cleaning industry will be advantageous

\n\tProficiency in all Microsoft programs\u00a0(Word, Excel, Power Point and Outlook)
