The Receptionist is responsible for the complete admissions process and handling of associated queries with various stakeholders. As a receptionist, you are required to be a Brand Ambassador by providing the best and safest person-centred quality customer service whilst living our values of CARE, TRUTH, PARTICIPTION, COMPASSION and DIGNITY. The incumbent will be required to provide quality customer services aligned to the overall business strategy, which is inclusive of administrative, switchboard, billing and pay point responsibilities.<\/p>\n<p>KEY WORK OUTPUT AND ACCOUNTABILITIES<\/p>\n<p>DISRUPTIVE INNOVATION<\/p>\n<p>Reception Oversight<\/p>\n<p>\tResponsible for the preparation of the reception area for each working day and have all front desk activities.<br \/>\n\tMaintain a neat and tidy reception area that is welcoming to our client base.<br \/>\n\tMaintain compliance to the uniform policy including the wearing of your name badge<br \/>\n\tDeliver professional and friendly customer services at all times in alignment with the company values i.e. CARE, TRUTH, PARTICIPATION, COMPASSION and DIGNITY.<br \/>\n\tresponsible and accountable for accurate document completion.<br \/>\n\tEnsure accuracy (quality and integrity) of information whether existing or new, on the patient file and billing system.<br \/>\n\tAttend to all customer complaints and if unable to resolve, refer it to the Reception Team Leader or Clinic Manager.<\/p>\n<p>Switchboard and Telephone Management<\/p>\n<p>\tDisplay professional telephone etiquette.<br \/>\n\tAttend to telephonic calls and queries professionally and timeously.<br \/>\n\tAccurately record messages in the appropriate message book and ensure that messages are delivered.<br \/>\n\tTransfer applicable calls to the appropriate member of staff for further intervention as necessary.<br \/>\n\tEnsure accurate bookings are scheduled with the patient\u2019s preference of practitioner, date and time.<\/p>\n<p>Patient Engagement and Administration<\/p>\n<p>\tManage patient arrival in a proficient and professional manner.<br \/>\n\tAssist patient in completing the appropriate documentation to ensure compliance to admission process as per Standard Operating Procedure.<br \/>\n\tVerify and confirm the file for accuracy and completeness and update if necessary.<br \/>\n\tEnsure a smooth workflow between departments at all times.<br \/>\n\tCapture and record patient medical and personal information on the system timeously, focusing on patient and visitor\u2019s needs.<br \/>\n\tInform the patient of any outstanding balances or levies.<br \/>\n\tValidate the patient details on the applicable switch application and inform the patient if verification was not successful.<br \/>\n\tDirect all patients to the appropriate location, services and professional.<br \/>\n\tMonitor patient waiting times and keep patient informed.<br \/>\n\tEnsure that the patient is correctly billed after the visit.<br \/>\n\tScheduling appointments for patients with specialists as requested by practitioners.<br \/>\n\tManage requests for repeat scripts accurately and timeously.<br \/>\n\tMaintain and manage stationery stock levels.<br \/>\n\tPerform any reasonable task as instructed by immediate supervisor.<\/p>\n<p>Pay Point \/Financial processing<\/p>\n<p>\tResponsible and accountable for all banking \/cash up processes as per Standard Operating Procedure.<br \/>\n\tReceipt of Cash\/Credit card\/Debit card and allocation to patient account.<br \/>\n\tCollect all outstanding patient liable amounts.<br \/>\n\tBe available until last patient leaves the clinic.<br \/>\n\tEnsure real time switching occurs and action rejections immediately<br \/>\n\tAccurate and immediate processing of MCR\u2019s before the patient leaves.<br \/>\n\tEnsure that both, practitioner and patient have signed MCR\u2019s.<br \/>\n\tEnsure correct ICD -10 codes are captured.<br \/>\n\tEnsure correct stock items are selected when billing<br \/>\n\tSign the MCR as evidence of processing.<br \/>\n\tEnsure that submission of account via applicable switch application<br \/>\n\tEnsure after switching that all levies and patient liable amounts are collected from the patient.<br \/>\n\tEnsure every patient receives their statement of account before leaving the practice.<\/p>\n<p>Risk Management \u00a0<\/p>\n<p>\tEnsure compliance to Company Policies &amp; Procedures.<br \/>\n\tAdhere to the CSA (controlled self-assessment) audit standards.<br \/>\n\tMaintain patient confidentiality at all times according to POPIA.<\/p>\n<p>BEST AND SAFEST PRACTICE<\/p>\n<p>\tHandling of emergencies<br \/>\n\tRefer patients to nursing station immediately.<br \/>\n\tAssist in transporting the patient to the nursing station if required.<br \/>\n\tEnsure that the patient is handed over to a nurse or practitioner.<br \/>\n\tFollow up on patient details once patient has been stabilised as per the Standard Operating Procedures.<\/p>\n<p>TRANSFORMATION OF OUR SOCIETY<\/p>\n<p>Self &#8211;
