{"id":37365,"date":"2026-06-09T14:08:26","date_gmt":"2026-06-09T14:08:26","guid":{"rendered":"https:\/\/jobs.dataaxisnode.com\/southafrica\/job\/admin-coordinator\/"},"modified":"2026-06-09T14:09:02","modified_gmt":"2026-06-09T14:09:02","slug":"admin-coordinator","status":"publish","type":"job_listing","link":"https:\/\/jobs.dataaxisnode.com\/southafrica\/job\/admin-coordinator\/","title":{"rendered":"Admin Coordinator"},"content":{"rendered":"<p>The duties and responsibilities of the Admin Coordinator will include, but not limited to:<\/p>\n<p>\u00a0Programme Administration, Capacity Building Operations and Oversight<\/p>\n<p>\tCoordinate administrative, logistical, and operational support for programme implementation activities, training sessions, meetings, and events.<br \/>\n\tManage and monitor integrated training calendars across programmes, funders, and private clients.<br \/>\n\tCoordinate travel arrangements, venue bookings, catering, attendance tracking, and event logistics.<br \/>\n\tServe as the Learner Management Information System (LMIS) Super User, overseeing learner enrolments, course creation, reporting, and user support.<br \/>\n\tMonitor and maintain learner records and training data, ensuring accuracy and compliance.<br \/>\n\tSupport accreditation, quality assurance, and standard operating procedure (SOP) requirements.<br \/>\n\tPrepare reports, meeting minutes, correspondence, and administrative documentation.<br \/>\n\tMaintain organised filing systems and programme records.<br \/>\n\tProvide guidance and support to Programme Administrators.<\/p>\n<p>Finance Administration<\/p>\n<p>\tSupport programme and finance teams with payment administration in accordance with NACOSA policies and procedures.<br \/>\n\tPrepare accurate payment packs and ensure timely submission for processing.<br \/>\n\tTrack payments and distribute proof of payment to suppliers.<br \/>\n\tAssist with reconciliation processes and expenditure verification.<\/p>\n<p>Procurement Administration<\/p>\n<p>\tSupport procurement activities for programme materials, office supplies, and service providers.<br \/>\n\tAssist with supplier registration, quotations, purchase orders, invoices, and supporting documentation.<br \/>\n\tEnsure procurement processes comply with NACOSA policies and procedures.<\/p>\n<p>Monitoring, Evaluation and Reporting<\/p>\n<p>\tGenerate and analyse monthly reports from the LMIS database.<br \/>\n\tCompile consolidated management reports and present findings to programme management.<br \/>\n\tMonitor training completion and compliance with operational procedures.<br \/>\n\tPrepare regular and ad hoc reports as required.<\/p>\n<p>Stakeholder Engagement<\/p>\n<p>\tMaintain professional relationships with programme staff, learners, facilitators, vendors, and external stakeholders.<br \/>\n\tRespond promptly to enquiries and provide administrative support.<br \/>\n\tSupport website shop administration and stakeholder communication processes.<br \/>\n\tCollaborate across teams to ensure effective programme implementation.<\/p>\n<p>People Management<\/p>\n<p>\tProvide leadership, support, and oversight to Administrative Assistants and Drivers.<br \/>\n\tPromote a positive, high-performing, and values-driven work environment.<br \/>\n\tSupport performance management, staff development, onboarding, recruitment, and attendance management processes.<br \/>\n\tAssist with HR-related administrative functions as required.<\/p>\n<p>Ad Hoc Support<\/p>\n<p>\tProvide administrative support on special projects and departmental initiatives.<br \/>\n\tDraft professional correspondence and reports.<br \/>\n\tAct as a stand-in for colleagues or supervisors when required<\/p>\n<p>Requirements<\/p>\n<p>\tDiploma or Degree in Office Administration, Business Management or related field<br \/>\n\tMinimum 5 years&#8217;
