The Head of Department (HOD) is responsible for the overall management, supervision, and coordination of all operational departments within the camps and lodges. The HOD ensures efficient operations, compliance with SOPs, high-quality service delivery, and effective communication across all departments.
\nKey Responsibilities:
\nStrategic Oversight & Management<\/p>\n
Develop and implement operational strategies to ensure smooth camp and lodge operations.
\nMonitor departmental performance and ensure compliance with company policies, standards, and SOPs.
\nApprove and oversee budgets, expenditure, and operational plans for all departments.
\nEnsure all tasks, reports, and audits are completed accurately and on time.
\nIdentify gaps, risks, and inefficiencies, and take corrective actions.<\/p>\n
Food Store & Purchasing Oversight<\/p>\n
Supervise food store operations, including receiving, storage, packing, and dispatch.
\nApprove purchase orders, verify quality and quantity of purchased items, and ensure cost efficiency.
\nMaintain proper stock records and ensure the FIFO system is followed.
\nMonitor delivery processes to camps and confirm proper acknowledgment of items received.<\/p>\n
Inventory Management<\/p>\n
Oversee inventory audits for all camps and lodges.
\nEnsure accurate tracking of linen, towels, guest amenities, cleaning supplies, food & beverage stock, equipment, and assets.
\nApprove actions for damaged, missing, or obsolete items.
\nReview audit reports and take corrective actions when necessary.<\/p>\n
Amenities \/ Housekeeping & Cleaning<\/p>\n
Ensure timely handling of F&B and housekeeping item requests and incidents.
\nApprove internal orders, purchase orders, and scrap item management.
\nMonitor cleaning standards and ensure housekeeping teams follow SOPs.
\nTrain and evaluate housekeeping staff performance.<\/p>\n
Camp Operations<\/p>\n
Supervise daily camp operations and ensure smooth functioning.
\nMonitor staff attendance, approve operational expenses, and resolve client-related issues.
\nReview and approve daily reports, task tracking, and completion status from managers.<\/p>\n
Administration & Transportation<\/p>\n
Oversee transport management, including staff transport, vehicle maintenance, supply dispatch, and fuel management.
\nApprove staff transportation allowances, vehicle permits, and hospital bill reimbursements.
\nEnsure proper coordination with the HR department for approvals.<\/p>\n
Customer Care<\/p>\n
Monitor guest feedback and Feedback platform rankings.
\nEnsure special client requests are met and guest issues resolved promptly.
\nApprove action plans based on feedback and ensure follow-up with camp\/lodge managers.<\/p>\n
Training & Development<\/p>\n
Oversee training programs for kitchen and service staff.
\nApprove training schedules, materials, and rotation plans.
\nMonitor training execution and post-training implementation across camps.<\/p>\n
Manager Oversight<\/p>\n
Supervise all department managers, ensuring they meet performance targets.
\nConduct regular meetings to coordinate inter-departmental activities.
\nReview and approve reports, spreadsheets, and operational documentation.<\/p>\n

\nKnowledge of food and beverage operations, housekeeping, inventory, and transportation management.

Qualifications & Experience<\/p>\n
Bachelor\u2019s degree in Hospitality Management, Business Administration, or related field.
\nMinimum 7\u201310 years of experience in camp\/lodge operations, with at least 3\u20135 years in a managerial or supervisory role.
\nProven experience managing multi-department operations.
\nFamiliarity with SOPs, audit processes, and inventory management systems.<\/p>\n
