\nQualifications:\u00a0Diploma in Business Administration or related field
\nKey Responsibilities
\nReception Duties<\/p>\n
Welcome residents and visitors warmly
\nShow apartments to prospective tenants
\nPrevent unauthorized individuals from entering the property
\nAnswer phone calls and emails promptly
\nReceive and manage deliveries and mail<\/p>\n
Tenant Management & Communication<\/p>\n
Set up and manage a monthly tracking system for tenant electricity and water sub-meter payments, including follow-up on outstanding amounts
\nEstablish an annual system for billing and collection of rent, utilities, and service charges
\nRespond to tenant maintenance and other requests within a reasonable timeframe
\nMaintain booking schedules for apartments
\nEnforce building rules and policies consistently
\nAssist tenants with purchasing items such as cooking gas, internet, and cable TV<\/p>\n
Cleanliness, Landscaping, Pest Control & Utilities
\nCleanliness<\/p>\n
Within the first month, create and implement a daily work schedule and printed checklist for cleaners
\nEnsure thorough daily cleaning of: halls and stairwells, garden, pool area and bathrooms, laundry room, perimeter walls, common kitchen, garbage collection area, staff toilets, guard hut, parking area, and staff accommodations<\/p>\n
Garden & Parking Area Maintenance<\/p>\n
Develop a complete schedule (within first month) covering:<\/p>\n
Regular watering of plants
\nPicking up trash
\nRaking dry leaves
\nIdentifying and treating diseased plants promptly
\nSweeping the parking area
\nPruning shrubs and trees
\nRemoving dead leaves
\nTrimming grass along borders
\nApplying fertilizer and compost
\nComposting dry leaves
\nReplacing plants in flower pots<\/p>\n
Utilities Management<\/p>\n
Electricity (Luku):\u00a0Monitor meter usage and purchase additional units on a regular schedule based on consumption tracking
\nWater (Dawasa):\u00a0Read the meter on the 12th of each month and ensure payment is made within 5 days of receiving the bill
\nCheck the water reservoir level daily
\nBackup electricity (generator):\u00a0Monitor fuel levels, order diesel when needed, and ensure the generator is serviced according to schedule<\/p>\n
Garbage Collection<\/p>\n
Keep accurate records of collection dates
\nFollow up with the garbage collector to prevent overflowing bins
\nEstablish a regular schedule for cleaning garbage bins, including who is responsible and how\/where it should be done<\/p>\n
Pest Control<\/p>\n
Arrange fumigation and pest control services as needed
\nProactively manage and prevent rat issues<\/p>\n
Repair & Maintenance<\/p>\n
Maintain proper stock of cleaning and gardening materials in a secure, well-organized storage area
\nEnsure availability of consumables (light bulbs, toilet paper, soap, pool chemicals, water filters, etc.)
\nKeep gardening equipment and supplies in good condition and store them safely (to protect pets and children)
\nEstablish a clear storage system and reorder items as needed without losses
\nKeep the swimming pool clean and properly chemically balanced
\nCoordinate with technicians and ensure repairs are completed quickly
\nArrange regular servicing of air conditioners, generator, and water filters according to schedule
\nRegularly check generator oil, water, and fuel levels
\nEnsure fire extinguishers are serviced on schedule<\/p>\n
Staff Management<\/p>\n
Create a reliable system to track staff attendance and prepare monthly staff reports
\nSupervise staff to ensure they perform their duties skillfully and responsibly
\nHold weekly team meetings to:<\/p>\n
Build teamwork
\nIdentify areas for performance improvement
\nGather staff input on ways to enhance work and collaboration<\/p>\n
Recognize and celebrate staff who show significant improvement each month<\/p>\n
Security<\/p>\n
Develop a regular schedule to inspect and test:<\/p>\n
Electric fence integrity and functionality
\nCCTV system
\nSecurity lights
\nMotion sensors
\nOther security equipment<\/p>\n
Perform random night-time checks of security guards<\/p>\n
