Communication<\/p>\n<p>Set up and manage a monthly tracking system for tenant electricity and water sub-meter payments, including follow-up on outstanding amounts<br \/>\nEstablish an annual system for billing and collection of rent, utilities, and service charges<br \/>\nRespond to tenant maintenance and other requests within a reasonable timeframe<br \/>\nMaintain booking schedules for apartments<br \/>\nEnforce building rules and policies consistently<br \/>\nAssist tenants with purchasing items such as cooking gas, internet, and cable TV<\/p>\n<p>Cleanliness, Landscaping, Pest Control &amp; Utilities<br \/>\nCleanliness<\/p>\n<p>Within the first month, create and implement a daily work schedule and printed checklist for cleaners<br \/>\nEnsure thorough daily cleaning of: halls and stairwells, garden, pool area and bathrooms, laundry room, perimeter walls, common kitchen, garbage collection area, staff toilets, guard hut, parking area, and staff accommodations<\/p>\n<p>Garden &amp; Parking Area Maintenance<\/p>\n<p>Develop a complete schedule (within first month) covering:<\/p>\n<p>Regular watering of plants<br \/>\nPicking up trash<br \/>\nRaking dry leaves<br \/>\nIdentifying and treating diseased plants promptly<br \/>\nSweeping the parking area<br \/>\nPruning shrubs and trees<br \/>\nRemoving dead leaves<br \/>\nTrimming grass along borders<br \/>\nApplying fertilizer and compost<br \/>\nComposting dry leaves<br \/>\nReplacing plants in flower pots<\/p>\n<p>Utilities Management<\/p>\n<p>Electricity (Luku):\u00a0Monitor meter usage and purchase additional units on a regular schedule based on consumption tracking<br \/>\nWater (Dawasa):\u00a0Read the meter on the 12th of each month and ensure payment is made within 5 days of receiving the bill<br \/>\nCheck the water reservoir level daily<br \/>\nBackup electricity (generator):\u00a0Monitor fuel levels, order diesel when needed, and ensure the generator is serviced according to schedule<\/p>\n<p>Garbage Collection<\/p>\n<p>Keep accurate records of collection dates<br \/>\nFollow up with the garbage collector to prevent overflowing bins<br \/>\nEstablish a regular schedule for cleaning garbage bins, including who is responsible and how\/where it should be done<\/p>\n<p>Pest Control<\/p>\n<p>Arrange fumigation and pest control services as needed<br \/>\nProactively manage and prevent rat issues<\/p>\n<p>Repair &amp; Maintenance<\/p>\n<p>Maintain proper stock of cleaning and gardening materials in a secure, well-organized storage area<br \/>\nEnsure availability of consumables (light bulbs, toilet paper, soap, pool chemicals, water filters, etc.)<br \/>\nKeep gardening equipment and supplies in good condition and store them safely (to protect pets and children)<br \/>\nEstablish a clear storage system and reorder items as needed without losses<br \/>\nKeep the swimming pool clean and properly chemically balanced<br \/>\nCoordinate with technicians and ensure repairs are completed quickly<br \/>\nArrange regular servicing of air conditioners, generator, and water filters according to schedule<br \/>\nRegularly check generator oil, water, and fuel levels<br \/>\nEnsure fire extinguishers are serviced on schedule<\/p>\n<p>Staff Management<\/p>\n<p>Create a reliable system to track staff attendance and prepare monthly staff reports<br \/>\nSupervise staff to ensure they perform their duties skillfully and responsibly<br \/>\nHold weekly team meetings to:<\/p>\n<p>Build teamwork<br \/>\nIdentify areas for performance improvement<br \/>\nGather staff input on ways to enhance work and collaboration<\/p>\n<p>Recognize and celebrate staff who show significant improvement each month<\/p>\n<p>Security<\/p>\n<p>Develop a regular schedule to inspect and test:<\/p>\n<p>Electric fence integrity and functionality<br \/>\nCCTV system<br \/>\nSecurity lights<br \/>\nMotion sensors<br \/>\nOther security equipment<\/p>\n<p>Perform random night-time checks of security guards<\/p>\n<p>Sharing is Caring!
