{"id":3971,"date":"2025-06-20T18:00:16","date_gmt":"2025-06-20T18:00:16","guid":{"rendered":"https:\/\/jobs.dataaxisnode.com\/zambia\/job\/administrative-officer-at-st-ignatius-college\/"},"modified":"2025-06-28T00:14:09","modified_gmt":"2025-06-28T00:14:09","slug":"administrative-officer-at-st-ignatius-college","status":"expired","type":"job_listing","link":"https:\/\/jobs.dataaxisnode.com\/zambia\/?post_type=job_listing&p=3971","title":{"rendered":"Administrative Officer at St Ignatius College"},"content":{"rendered":"<p>A leading Jesuit Secondary School is seeking a highly motivated and detail-oriented Administrative Officer to join our team.<br \/>\nThe ideal candidate should be able to perform the key responsibilities below:<br \/>\nRecruitment and Onboarding<br \/>\nAssisting with the recruitment process, including posting job openings, screening applications, and conducting interviews.<br \/>\nManaging the onboarding process for new employees, ensuring they are properly inducted and have the necessary resources.<br \/>\nEmployee Relations<br \/>\nAddressing employee inquiries and concerns related to HR policies and procedures.<br \/>\nHandling employee relations issues, such as disciplinary matters and performance issues.<br \/>\nTraining and Development<br \/>\nPlanning and implementing training programs to enhance employee skills and knowledge.<br \/>\nIdentifying training needs and recommending appropriate development opportunities.<br \/>\nCompensation and Benefits<br \/>\nAdministering employee compensation and benefits programs.<br \/>\nEnsuring compliance with relevant regulations and policies.<br \/>\nEnrolment and de-enrolment of all staff within St. Ignatius College and Benefits Plan in a timely fashion.<br \/>\nHR Administration:<br \/>\nPreparation of HR Monthly and Quarterly reports.<br \/>\nMaintaining accurate and up-to-date employee records.<br \/>\nProcessing payroll and other HR-related tasks.<br \/>\nUpdating and maintaining all personnel files and records in a safe and secure location.<br \/>\nSupporting the completion of employee probationary and annual evaluations.<br \/>\nCompletion of all administrative tasks required upon contract completion, or termination of all St. Ignatius College employees.<br \/>\nLegal Compliance:<br \/>\nStaying informed about changes in employment law and ensuring compliance.<br \/>\nAdvising management on HR-related legal issues.<br \/>\nTime and Attendance<br \/>\nManaging and taking ownership of the time and attendance system.<br \/>\nGenerating weekly attendance reports for user departments and escalating areas of concern to the Vice Principal Administration.<br \/>\nConfiguring new employees and removing those that have separated from the College.<br \/>\nDefining and assigning employees individual access to their clockings.<br \/>\nGenerating time and attendance reports on request from Department heads and individual employees.<br \/>\nPerformance appraisal<br \/>\nOversee performance appraisal processes, ensuring staff development and accountability<br \/>\nEnsure that all appraisals are followed up and completed by Heads of Departments.<br \/>\nOther Duties:<br \/>\nFacilitating employee communication and engagement.<br \/>\nContributing to the development and implementation of HR policies and procedures.<br \/>\nSupporting the organization\u2019s overall HR strategy.<br \/>\nWhat You Need to Succeed.<br \/>\nGrade 12 School Certificate.<br \/>\nBachelor\u2019s in Human Resource Management \/ Business Administration or related field.<br \/>\nMinimum 3 years HR experience is required.<br \/>\nAbility to work under pressure.<br \/>\nAbility to use own initiative with minimal supervision.<br \/>\nMust have well developed knowledge of and experience in the application of HR procedures and practices.<br \/>\nMust have sound working knowledge of Zambian Labour Laws.<br \/>\nMust be a Member of the Zambia Institute of Human Resources Management (ZIHRM).<br \/>\nBe able to adapt to a changing environment.<br \/>\nExcellent administrative skills and attention to detail.<br \/>\nComputer\u00a0literate (Conversant with Microsoft Excel, Word &amp; PowerPoint).<br \/>\nSharing is Caring!
